About This Automation

Rebooking and retention in car detailing relies on staff manually tracking when customers are due for their next service and then reaching out via text or call. This manual process is inconsistent, time-consuming, and causes many customers to slip away because follow-ups are forgotten or incomplete.

Automated rebooking sends personalized reminders at the right time based on each customer's service history and preferred contact method. The system tracks all interactions, logs outcomes, and sends follow-up reminders automatically, ensuring no customer is missed and repeat bookings increase.

Key features
Capture customer details and service dates automatically at checkout
Calculate redetailing intervals based on service type and vehicle history
Send personalized SMS and email reminders on schedule
Track customer responses and interaction outcomes in real time
Deliver follow-up reminders automatically if no response
Update customer records and booking calendar without manual entry

How The Automation Works

The full workflow, from trigger to completion.

1. Service Completed & Paidtrigger

Automation is triggered when a customer completes payment for a detailing service. Customer contact details and service type are captured from the POS or payment system.

2. Extract Service & Customer Data

The automation reads the service type and date, then calculates the recommended redetailing interval (e.g. 30 days for ceramic coat, 60 days for standard wash). Customer phone, email, and name are logged.

3. Store Customer Record in CRM

Customer details, service history, and next recommended contact date are stored. This creates a single source of truth for all customer interactions and booking history.

4. Schedule First Reminder

A reminder is automatically scheduled to send 30 days after the service date. The automation queues the message (SMS or email) to be sent at the optimal time.

5. Compose & Send Reminder

The automation drafts a personalized reminder message based on the customer's service history and preferred contact method. The message is sent via SMS or email and logged in the CRM.

6. Customer Responds or Books?

If the customer books a new appointment or responds positively, the automation moves to completion. If no response after 30 days, a second reminder is scheduled for day 60.

7. Send Follow-Up Reminder

If no response to the first reminder, a second message is sent 60 days after the original service. The message tone is adjusted to encourage action.

8. Log Interaction & Update CRM

All outreach attempts, responses, and booking outcomes are automatically logged. Staff can view a complete history of each customer's engagement and next steps.
