1. New Hire or Termination Triggeredtrigger
A new employee record is created or a termination date is reached. The automation platform detects the event and retrieves employee details.
2. Generate Offer Letter and Docs
The automation uses employee data to populate offer letter, employment agreement, and onboarding checklist templates. Documents are generated as PDFs and stored in Google Drive.
3. Update Payroll
Payroll details (salary, tax info, deductions) are automatically created or updated. For terminations, the employee is marked inactive and final pay is calculated.
4. Notify Departments
Automated messages are sent to IT, Finance, and Operations channels with onboarding or offboarding checklists and deadlines. For terminations, IT is asked to revoke access immediately.
5. Send Welcome or Exit Email
A personalised welcome email is sent to new hires with first-day details. For terminations, an exit email is sent with final pay and benefits info.
6. Update and Archive Documents
Employee record is updated with all onboarding or termination data. Documents are uploaded to the employee file and a completion checklist is logged.
7. Log Completion
A final confirmation message is posted to the HR channel confirming all steps are complete and the employee is ready to start or has been fully offboarded.
