About This Automation

Payment application certification is a manual process where finance staff receive contractor payment applications, extract data, verify compliance, and route them through multiple approval layers.

Automation reads applications, validates compliance rules against contractor records, routes approvals automatically, and updates records in real time. The result is same-day certification, accuracy, and a complete audit trail.

Key features:
Extract contractor data from applications in any format, including scanned documents
Validate compliance rules automatically against contractor records and payment history
Route applications to project managers and finance leads based on project assignment
Update contractor records and approval logs without manual data entry
Send confirmation notifications to contractors and project managers
Flag exceptions and rejections for manual review with detailed reason codes

How The Automation Works

The full workflow, from trigger to completion.

1. Payment Application Receivedtrigger

A new payment application is uploaded or arrives via email. The automation detects the submission and begins processing.

2. Extract Data from Application

The automation reads the PDF or document and extracts contractor name, ABN, insurance expiry, tax file number, project code, and payment terms into structured fields.

3. Validate Compliance Rules

The automation checks extracted data against compliance rules: valid ABN format, insurance expiry date in future, tax file number present, no payment disputes, and project code matches active projects.

4. Query for Contractor History

The automation queries to retrieve contractor payment history, outstanding invoices, and any holds or disputes. Results are compared against compliance thresholds.

5. All Checks Pass?

If all compliance checks and validation pass, the application routes to project manager approval. If any check fails, the application is flagged for manual review.

6. Route to Project Manager

A structured approval request is sent to the assigned project manager via email or task, including a summary of compliance findings and a link to the application.

7. Route to Finance Lead

Once project manager approves, the application is automatically routed to the finance lead for final sign-off via email or task.

8. Update and Send Confirmation

Upon finance lead approval, the contractor record is updated with certification status and approval date, and a confirmation email is sent to the contractor and project manager.
