How The Automation Works

1. Invoice Email Receivedtrigger

An email with an invoice attachment arrives in the finance inbox. The automation platform monitors the inbox and triggers on new messages from known vendor email addresses or containing invoice keywords.

2. Extract Invoice Data

The automation reads the PDF attachment, extracts vendor name, invoice number, amount, due date, and line items. The extracted data is validated against a vendor master list.

3. Match to Purchase Order

The automation queries QuickBooks for a matching PO by vendor and amount. If a match is found, the PO reference is linked. If no match is found, the invoice is flagged for manual review.

4. PO Match Found?

If a PO is matched, the invoice proceeds to auto-creation. If no match is found, the invoice is held for manual review.

5. Create Bill in QuickBooks

The automation creates a new bill in QuickBooks with the extracted data and links it to the matched PO. Account coding is applied based on the PO category.

6. Send Approval Request

A message is sent to the property manager with the invoice summary and a link to QuickBooks, requesting approval. The message includes the amount, vendor, and due date.

7. Schedule Payment

Once approval is received reaction or reply, the automation schedules a payment in QuickBooks for the due date or an earlier date if an early-pay discount is available.

8. Send Confirmation

A confirmation message is posted confirming that payment has been scheduled, with the payment date and amount.
