1. Application Receivedtrigger
New application arrives via email or web form. The automation platform detects the submission and extracts applicant details and attached documents.
2. Extract & Validate Data
The automation parses the application form and documents, extracting applicant name, contact details, policy type, coverage amount, and document list. Data is validated against submission requirements.
3. Check Document Completeness
The automation compares extracted documents against a required checklist. If documents are missing, a request email is automatically generated and sent to the applicant with a list of missing items and a deadline.
4. Route to Underwriter
Once all documents are received, the application is automatically assigned to the next available underwriter based on workload and expertise rules. A notification is sent with a link to the application record.
5. Send Decision & Signature Link
After underwriter approval or conditional approval, a decision letter is automatically generated and sent via email link for signature. Denial decisions are sent with a reason summary.
6. Monitor Signature Status
The automation monitors for signature completion. If unsigned after 2 days, an automatic reminder email is sent to the applicant. Once signed, the status is updated.
