Check assessor availability and propose optimal appointment slots without manual back-and-forth
Send confirmation emails to assessors with resident details and special requirements
Schedule calendar entries and resident reminders without duplicate data entry

1. Assessment Due Date Reachedtrigger
The automation checks the assessment schedule daily and identifies any resident whose assessment is due or overdue today.
2. Fetch Resident & Assessor Details
The system retrieves the resident's profile, assessment type, special requirements, and a list of available assessors.
3. Check Assessor Availability
The automation queries to find free slots for available assessors in the next 7 days and ranks them by proximity to the due date.
4. Propose & Book Slot
The automation selects the best available slot and creates a calendar event, then sends a confirmation email to the assessor with resident details and any special notes.
5. Send Reminders
Automated reminders are sent to the resident 3 days before and 1 day before the scheduled assessment.
6. Log Outcome & Update Compliance
After the assessment, the assessor submits results via a form or email. The automation logs the outcome, updates the compliance record, and sets the next due date.
7. Alert on Overdue or Missed
If an assessment is not completed by the due date, a alert is sent to the Operations Manager with a list of overdue residents for manual follow-up.
Everything you need to know before mapping this process.
The system checks all available assessors and time slots, then proposes the next best option. If no slots match, staff are alerted to manually contact the assessor or adjust the assessment date.
