A new candidate record is created and tagged as passive or added to an outreach list. The automation is triggered immediately.
2. Fetch Candidate Profile Data
The automation retrieves the candidate's name, email, phone, current role, and sourcing notes to use in personalization.
3. Generate Personalized Outreach Message
The automation drafts a personalized first-touch email or message based on the candidate's profile, role, and sourcing notes. The message is stored.
4. Send Initial Outreach via Email
The personalized message is sent to the candidate. The send timestamp and message content are logged.
5. Response Received Within 5 Days?
The automation checks for a reply or engagement event. If yes, the candidate moves to active follow-up. If no, proceed to follow-up sequence.
6. Generate Follow-up Message
The automation drafts a contextual follow-up message referencing the initial outreach and adding new value or urgency. The message is stored.
7. Send Follow-up via Email
The follow-up message is sent on day 7. The send timestamp and message are logged.
8. Notify Sourcer
A notification is sent to the sourcer summarizing the outreach activity, response status, and next scheduled touch. The sourcer can override or pause the sequence.
