About This Automation
Waivers and intake forms are critical for liability and client safety, but manual processing creates bottlenecks. Staff spend hours checking completeness, chasing missing information, and re-entering data into systems.
Automation validates forms instantly, extracts data automatically, and files documents consistently. Clients receive same-day confirmation, and the team focuses on exceptions only.
Key features:
Validate form completeness automatically and flag missing fields in real time
Extract client data from forms and sync directly to your CRM without manual re-entry
Route incomplete submissions back to clients with a single reminder message
File and organize documents with consistent naming and folder structure
Send instant confirmation emails once forms are received and verified
Track form status and client clearance in your CRM automatically
Hidden Overhead™Context switching between email, CRM, and file storage, plus time spent.

1. New Form Submission Receivedtrigger
A client submits a waiver or intake form via email,, or a web link. The automation is triggered immediately.
2. Validate Form Completeness
The automation reviews the form data to check that all required fields are filled, signatures are present, and dates are valid. If any field is missing, the automation flags it.
3. Auto-Send Reminder for Missing Fields
If the form is incomplete, a notification is sent to the client (or an email reminder is queued) requesting the missing information. The client can resubmit directly.
4. Extract and Map Form Data
Once the form is complete, the automation extracts all key fields (name, contact, health info, emergency contact) and maps them to the correct CRM fields.
5. Create or Update Client Record
The extracted data is automatically written to the client record, eliminating manual re-entry.
6. Store Form
The completed form is automatically saved in a consistent folder structure with a standardised naming convention.
7. Send Confirmation to Client
A confirmation email is automatically sent to the client confirming receipt of the form and clearing them to proceed with their booking or experience.
Everything you need to know before mapping this process.
Automation detects missing fields or signatures immediately and sends the client a reminder with a list of what is needed. Once they resubmit, the form is validated again and processed automatically.
