About This Automation

Shipping notifications require staff to manually check order status, retrieve tracking numbers from carrier portals, and compose emails for each shipment. This repetitive work is error-prone and delays customer communication.

Automation captures shipped orders automatically, pulls tracking data from carrier APIs, and sends personalized email and SMS notifications in real time. Customers receive timely updates with accurate delivery information.

Key features:
Detect shipped orders automatically from your order management system
Retrieve tracking numbers and delivery dates directly from carrier APIs
Compose personalized shipping notifications with brand tone and legal disclaimers
Send email and SMS notifications simultaneously to customers
Log all notifications in a central record to prevent duplicates
Retry failed messages and alert staff to invalid contact details

How The Automation Works

The full workflow, from trigger to completion.

1. Order Shipped Eventtrigger

A webhook fires when an order status changes to shipped and a tracking number is recorded. The automation captures the order ID, customer email, phone, carrier, and tracking number.

2. Enrich Tracking Data

The automation queries the carrier API to fetch estimated delivery date, service level, and any special handling notes. It formats the tracking data for the notification template.

3. Check Notification Log

The automation queries to confirm this order has not already been notified. If a record exists, the flow stops to prevent duplicates.

4. Send Email

A templated shipping confirmation email is sent to the customer with the tracking number, carrier, and estimated delivery date embedded. The email is sent from the business email account.

5. Send SMS

A brief SMS notification with the tracking number and a link to track the shipment is sent to the customer's phone number if one is on file and SMS is enabled for that order.

6. Log Notification

The automation appends a row with the order number, customer name, tracking number, carrier, notification timestamp, and delivery status for audit and duplicate prevention.

7. Post Confirmation

A summary message is posted confirming the notification was sent, including order ID, customer name, and tracking number for team visibility.
