About This Automation
Restricted fund tracking requires manual interpretation of donor letters, cross-referencing fund codes, and verifying each expense against complex spending rules. This manual process is slow, error-prone, and leaves compliance breaches undetected until month-end reconciliation.
Automation reads donor restrictions in real time, maps them to fund codes, validates expenses against rules instantly, and monitors balances continuously. Compliance breaches are caught immediately, and month-end reconciliation becomes a simple review.
Key features:
Extract donor restrictions automatically from emails and letters
Map restrictions to fund codes and spending categories in real time
Validate expenses against fund rules before approval
Hidden Overhead™Staff context-switching between emails, spreadsheets, and accounting software.

1. Donation Receivedtrigger
A new donation arrives via email, bank transfer notification, or online form. The automation platform detects the incoming donation and extracts donor and amount details.
2. Extract Donation Metadata
The automation reads the donor letter or email, identifies the restriction language, and maps it to a fund code and spending category.
3. Create Fund Record in QuickBooks
The automation creates or updates the fund entry with the donation amount, restriction tag, and fund code.
4. Expense Submitted for Approval
A program manager submits an expense. The automation captures the expense details and checks them against the fund restrictions.
5. Validate Expense Against Restrictions
The automation compares the expense category, amount, and program against the donor's restriction rules and fund balance. It flags any breaches.
6. Route for Human Review if Breach Detected
If a restriction breach is detected, the expense is routed to the finance manager for manual review. If compliant, it proceeds to posting.
7. Post Expense and Notify Submitter
The approved expense is posted to QuickBooks and the submitter is notified via email of approval or rejection with reason.
Everything you need to know before mapping this process.
The automation flags the restriction and routes it to the finance manager for human judgment. Simple, standard restrictions are mapped automatically; edge cases always get human review before the fund is created.
