Question 1

What manual work can we automate by connecting Handwrytten to our other tools?

Accepted Answer

You can automate the process of triggering handwritten cards to be sent based on events in your other software, such as when a new contact is added to your CRM, a record reaches a certain status, or a form submission arrives. Instead of manually composing and sending cards through Handwrytten each time, your automation platform watches for those trigger events and automatically passes the relevant contact details and message content to Handwrytten, which then produces and mails a physical handwritten card. This eliminates the repetitive work of opening Handwrytten, entering recipient information, and scheduling each card individually.

Question 2

How does data flow from our business tools into Handwrytten when we set up an automation?

Accepted Answer

When you connect Handwrytten to your automation platform, data flows from your source tool (like your CRM or forms platform) as a trigger event, passing key information such as recipient name, address, and message text to Handwrytten. Handwrytten receives this data through its API connection and uses it to populate the card details, including who it should be addressed to and what should be written on the card. The automation platform acts as the bridge, mapping fields from your business tool to the fields Handwrytten expects, so the right information lands in the right place on the card.

Question 3

What are common issues or limitations we should watch for when automating card sending?

Accepted Answer

Address data must be complete and properly formatted, or the card may not deliver correctly, so validate that your source tool is capturing full street addresses, cities, states, and ZIP codes before they reach Handwrytten. Message content length matters too, as extremely long text may not fit legibly on a physical card, so set reasonable character limits in your automation. Additionally, Handwrytten requires a active recipient address for each card, so automations that try to send cards without a valid mailing address will fail or require manual correction.

Question 4

How should we structure our contact data and workflows so Handwrytten automations work reliably?

Accepted Answer

Maintain clean, consistent address records in your source system with standardized fields (full name, street address, city, state, ZIP) so that data maps correctly when sent to Handwrytten. Define clear trigger rules in your automation that specify when cards should be sent and what message template should be used, avoiding situations where the same contact receives duplicate cards. Test your automation with a small batch of sample records first to confirm address formatting and message content render correctly on an actual card before scaling to larger contact lists.
