How The Automation Works

The full workflow, from trigger to completion.

1. Student Completes Coursetrigger

Automation watches for a student record marked as course complete or a date field matching 30 days post-enrollment. The trigger fires automatically.

2. Query Eligible Students

The automation retrieves the student's name, email, course name, and completion date. It checks that the student has not already been sent a review request in the last 90 days.

3. Send Personalized Review Request

A personalized email is sent with the student's name, course name, and a link to a Google Form or review platform. The email is logged as an activity.

4. Wait for Response

The automation waits 7 days for a response. If the student submits a Google Form or replies to the email, the response is captured automatically.

5. Send Follow-Up Reminder

If no response is received after 7 days, a follow-up email is sent automatically. A second reminder is sent after 14 days if still no response.

6. Log Response

When a response is received, the review text and referral information are automatically logged as a contact note and custom field. Duplicates are prevented by checking the contact history.

7. Notify Marketing Team

A notification is sent to the marketing channel with the student's name, course, and review summary. The team can then review and approve posting to public platforms.
