Contract Generation & E-sign
[YourCompany.com] · Sales Department · Prepared by FullSpec · [Today's Date]
This document quantifies the full cost of running your contract generation process manually, shows what changes after automation, and calculates the net return on investment across year one and beyond. The numbers are drawn from your discovery session and benchmarked against industry data for teams processing a similar volume of contracts. FullSpec handles the entire build; your team's role is to confirm the assumptions flagged in section six and keep one human review step in the flow.
01What the current process is costing you
5 hrs/week
Staff time lost on contract admin
At $32/hr, that is $160 every week in labour cost alone
$8,320/year
Annual staff cost for contract admin
Benchmark for a team processing ~60 contracts/month
4 to 7 days
Current average time to signed contract
Benchmark: 1 to 2 days with automation in place
The three highest-friction steps in your current process are responsible for the majority of both the time cost and the error rate. Each one is a manual action with no safety net.
- Select Correct Contract Template (Step 2, 8 min per contract): A sales rep manually searches Google Drive to identify the right template based on deal type, product line, or customer region. With seven templates in use, the wrong one is chosen often enough to require rework. At 60 contracts per month, this step alone consumes roughly 8 hours of rep time every month and is the most common source of contract errors.
- Copy Deal Data Into Document (Step 3, 20 min per contract): The rep manually transcribes customer name, address, pricing, payment terms, and scope from HubSpot into the selected template. This is the single largest time sink in the process (20 hours per month at current volume) and the step most likely to introduce pricing or scope errors that require a second review cycle.
- Chase Unsigned Contracts Manually (Step 7, 15 min per contract): With no automated follow-up, each unsigned envelope requires the rep to remember to chase it, compose a fresh email, and track the outcome themselves. There is no consistent cadence. Contracts routinely sit unsigned for days longer than necessary, and some are never followed up at all, directly extending the average time to a signed deal.

02What changes after automation
Once the automation is live, three agents handle template selection, data merge, DocuSign dispatch, timed follow-up, and post-signature CRM filing without any action from the sales rep. The one decision point your team keeps is the sales manager's review of the assembled draft in Slack before the contract goes to the customer. That gate remains human by design, preserving commercial judgement on the terms. Everything around it, the document build, the sending, the chasing, and the filing, runs automatically the moment a deal is marked Closed Won in HubSpot.
0.5 hrs/week
Staff time on contract admin after automation
Down from 5 hours. Manager review is the only remaining manual step.
Automated
Template selection, data merge, follow-up, and CRM filing

1 to 2 days
New average time to signed contract
Down from 4 to 7 days. Timed follow-up at 48 and 96 hours drives faster completion.

Already using some of these tools? If DocuSign and your workflow automation tool are already on your payroll, the incremental annual tool cost drops to $0, reducing your year 1 total outlay to the $2,800 build fee alone. If only one of the two is already covered, your incremental annual spend is $540 (DocuSign only) or $720 (orchestration layer only), cutting the total year 1 cost to $3,340 or $3,520 respectively. Confirm which tools are active before the build starts and FullSpec will adjust the cost model.

Month 4 (build cost recovered by month 4 of operation)
The three-year net saving at current volume is approximately $17,000 after all costs. That figure assumes no growth in contract volume. At 90 contracts per month (a 50% volume increase), the annual staff saving scales proportionally and the three-year return exceeds $27,000.

All financial figures in this document are based on the volume, rate, and time inputs confirmed during your discovery session, supplemented by FullSpec benchmark estimates where marked. The numbers scale directly with changes in any of three variables. First, contract volume: every additional 10 contracts per month adds roughly $1,440 in annual staff saving at the current hourly rate, assuming the same time per contract. Second, hourly rate: if the role handling contracts is paid above $32 per hour, the annual saving and payback period both improve. At $45 per hour with the same volume, the annual staff saving rises to approximately $10,500. Third, tool costs: if DocuSign or the orchestration layer are already included in an existing subscription, the net year 1 saving increases by the corresponding annual amount ($540 or $720). FullSpec recommends revisiting these numbers at the 90-day mark once live data confirms actual time saved and volume processed. Contact support@gofullspec.com to request a revised model at any point.
