Launch Plan

Contract Generation & E-sign

[YourCompany.com] · Sales Department · Prepared by FullSpec · [Today's Date]

This Launch Plan covers everything that happens between now and go-live for your Contract Generation and E-sign automation. It tells you what is being built, how the build is structured, what FullSpec needs from you, and what your ongoing role looks like once the automation is running. FullSpec handles all configuration, connection, and testing end to end. Your role is to provide tool access, confirm one key decision before the build starts, and approve the output during the test stage.

01What you're launching

Right now, every closed-won deal triggers a manual sequence: a sales rep finds the right contract template in Google Drive, copies pricing, scope, and customer details from HubSpot by hand, exports a PDF, uploads it to DocuSign, sends a cover email through Gmail, and then chases the customer informally if no signature arrives. Signed copies often sit in inboxes rather than being filed against the CRM record, and the wider team has no visibility until someone remembers to post in Slack. The automation removes the copy-paste, the manual chasing, and the inconsistent record-keeping by connecting HubSpot, Google Drive, DocuSign, Gmail, and Slack through three purpose-built agents, while keeping a sales manager approval gate in place before any contract reaches the customer.

02How the build works

The build is split into four sequential stages: Connect, Build, Test, and Launch. FullSpec leads every stage. Your involvement is focused and time-limited at each point, typically under an hour of your attention per stage. The overall delivery is structured across four weeks, with each stage building directly on the last. Nothing is handed off to you mid-build; FullSpec completes each stage before moving to the next, and you are kept informed at every transition.

Complexity level: Moderate. Estimated delivery window: 15 to 20 business days. The delivery clock starts at the close of Connect, not payment. Until Connect is complete and credentials are confirmed, the build clock has not started.
1
Connect
Business days 1 to 3
Who
Actions
FullSpec
Reviews the mapped process, confirms tool access is working, audits the existing contract templates in Google Drive, and documents the merge field list and template-selection logic.
You
Share access credentials for HubSpot, Google Drive, DocuSign, Gmail, and Slack. Confirm which deal properties are used for template selection, and identify the person who will act as the approving sales manager.
2
Build
Business days 4 to 13
Who
Actions
FullSpec
Builds the Contract Assembly Agent (HubSpot trigger, Google Drive template selection, data merge), then the Signature Tracking and Follow-up Agent (DocuSign envelope creation, Gmail follow-up at 48h and 96h), then the Post-Signature CRM and Notification Agent (signed PDF attachment to HubSpot, Slack notifications). Each agent is tested in isolation before integration.
You
No action required during the build. FullSpec may send one or two short questions if an edge case in template logic needs clarification. Responses within one business day keep the build on schedule.
3
Test
Business days 14 to 17
Who
Actions
FullSpec
Runs end-to-end tests across at least three deal types, verifies data accuracy in merged contracts, confirms the Slack approval gate works, checks DocuSign envelope completion webhooks, and validates that signed PDFs attach correctly to HubSpot deal records.
You
Review two to three sample contracts generated during testing and confirm that merged data, layout, and figures look correct. Approve the Slack review flow from the sales manager account. Raise any issues within one business day of receiving the test pack.
4
Launch
Business days 18 to 20
Who
Actions
FullSpec
Switches the automation live on a real Closed Won deal, monitors the first three live runs in real time, confirms Slack notifications reach the correct channels, and provides a brief handover summary with the support contact.
You
Notify the sales team that manual contract preparation steps are being replaced. The sales manager should expect a Slack review prompt on the next live Closed Won deal. Contact support@gofullspec.com immediately if anything looks unexpected on a live contract.

03What FullSpec needs from you

FullSpec only needs access to the tools your team already uses. No technical knowledge is required on your side. The table below lists exactly what is needed for each tool and when it must be in place. Everything should be ready before Connect closes so the build clock can start without delay.

Tool
What we need
When
HubSpot
A private app token or admin-level API credentials with read access to Deals, Contacts, and Companies, plus write access to deal properties and file attachments.
Before Connect closes
Google Drive
A service account or shared drive access that allows reading from the contract template folder and writing new documents to the output folder. Confirm the folder structure with FullSpec during Connect.
Before Connect closes
DocuSign
An integration key (client ID) and RSA key pair from the DocuSign developer or production account, plus the account ID and base URI. An admin user must grant consent to the integration.
Before Connect closes
Gmail
OAuth 2.0 credentials from a Google Workspace account authorised to send on behalf of the relevant sales address. The account must have Gmail API access enabled.
Before Connect closes
Slack
A Slack app installed to your workspace with permission to post to the sales review channel and the notifications channels for finance and delivery. Provide the bot token and the channel IDs.
Before Connect closes
One decision must be confirmed before Connect closes: how does the business determine which contract template to use for a given deal? Template selection can be based on deal type, product line, customer region, or a combination. FullSpec will build the selection logic around whichever rule you confirm. If this is not confirmed during Connect, the build cannot start on schedule.

04Your role once live

Once the automation is live, day-to-day contract preparation requires no manual effort from the sales team. The table below sets out what you continue to own and what FullSpec continues to handle.

Role
Ongoing responsibilities
What you no longer touch
You (business owner / sales manager)
Review and approve the contract draft in Slack before it goes to the customer. Ensure HubSpot deal fields are filled in correctly by reps at the point of closing. Contact support@gofullspec.com if a contract generates incorrectly or a signed PDF does not appear on the deal record.
Manually selecting contract templates, copying deal data into documents, exporting PDFs, uploading to DocuSign, sending cover emails, chasing unsigned contracts, downloading signed copies, attaching them to HubSpot, or posting Slack notifications to finance and delivery.
FullSpec
Monitor automation health, respond to support requests at support@gofullspec.com, maintain API connections as tools update their authentication requirements, and update merge field mappings if new deal properties are added to HubSpot.

05What success looks like

The table below sets out what you should expect to see at each milestone after go-live and how you will know the automation is performing as designed.

Timeframe
What to expect
Sign of success
Week 1
The first live contracts are generated automatically on Closed Won deals. The sales manager receives a Slack prompt for each one. DocuSign envelopes are dispatched after approval and follow-up emails fire at 48 hours and 96 hours if unsigned.
At least three live contracts generated without manual intervention, signed PDFs attached to the correct HubSpot deal records, and zero missed follow-ups.
Month 1
The full volume of Closed Won deals is flowing through the automation. Sales reps are no longer preparing contracts manually. The sales manager approval step in Slack is the only human touchpoint before the contract reaches the customer.
Contract-to-send time drops from 90 minutes to under 10 minutes per deal. CRM deal records show signed contracts attached consistently. The team reports no manual chasing of unsigned envelopes.
Month 3
Approximately 62 contracts per month are being handled entirely by the automation. Time-to-signed-contract averages 1 to 2 days. Signed contract logging in HubSpot reaches 100 percent. Sales reps have recovered roughly 20 hours per month previously spent on contract admin.
Annualised staff cost saving of $8,000 is on track. Payback on the $2,800 build cost is confirmed within the projected 4-month window. The sales team can point to a measurable reduction in deal-close lag.

Next step: share tool access credentials with the FullSpec team so the Connect stage can be completed and the build clock can start. Send credentials and your template-selection confirmation to support@gofullspec.com. FullSpec will confirm receipt and schedule the Connect review within one business day.
