Launch Plan

Quality Control Checklist Automation

[YourCompany.com] · Operations Department · Prepared by FullSpec · [Today's Date]

This Launch Plan gives you a clear picture of what is being built, how the build unfolds, what FullSpec needs from you to get started, and what your team's day-to-day role looks like once the automation is live. FullSpec handles all technical configuration, testing, and deployment. Your role is to supply tool access, confirm one key decision before build begins, and train your inspectors on the new digital form.

01What you're launching

Today your inspectors record results on paper checklists or shared spreadsheets, manually copy those results into a central log, and escalate failures by email with no standard format. A team member then spends around 30 minutes every week compiling a summary report by hand. Defect notifications often arrive hours after the inspection, shrinking the window to intervene. This build replaces that manual chain with a structured digital form in Google Forms that triggers an automated downstream workflow: results are logged to Airtable instantly, critical failures create a corrective action record and fire a Slack alert within under two minutes, and a scheduled weekly email report is sent to the management team every Monday morning without anyone touching it. The one step that stays human is physically confirming a corrective action is resolved before the record is closed.

02How the build works

FullSpec runs the build across four stages: Connect, Build, Test, and Launch. Each stage has a clear owner, a defined set of actions, and a handoff point. You do not need any technical knowledge to participate. The heaviest lift for your team is the Connect stage, where FullSpec needs access to your tools and a confirmed set of failure severity rules. After that, FullSpec handles everything through to go-live, with a structured test session in the Test stage that your operations manager attends to confirm the logic works against real inspection scenarios.

Complexity level: Moderate. Estimated delivery window: 3 to 4 weeks. The delivery clock starts at the close of Connect, not payment. If severity classification rules are not yet documented, allow an additional week of discovery before Connect can close.
1
Connect
Business days 1 to 3
Who
Actions
FullSpec
Runs a kick-off call to confirm inspection types, failure severity rules, Airtable schema requirements, and Slack channel structure. Documents the classification criteria that will drive the QC Review Agent. Confirms tool access is in place and the automation platform connection is ready.
You
Attend the kick-off call with your operations manager. Share or confirm your documented failure severity rules (critical, major, minor). Grant access to Google Forms, Airtable, Slack, and Gmail as detailed in Section 03. Confirm which Slack channel receives critical failure alerts.
2
Build
Business days 4 to 15
Who
Actions
FullSpec
Configures Google Forms for each inspection type and builds the Airtable base with the QC log, corrective action table, and linked views. Builds the QC Review Agent with severity classification logic, Airtable record creation, Slack alert formatting, and corrective action assignment rules. Builds the Reporting Agent with its Monday 07:00 schedule, Airtable query logic, and Gmail summary email template. Tests each agent individually against sample data.
You
No action required during Build. If FullSpec identifies a question about your failure rules or product categories, you may receive a short message to confirm a detail. Typical response needed within one business day to avoid delays.
3
Test
Business days 16 to 18
Who
Actions
FullSpec
Runs end-to-end QA across real inspection scenarios: pass-only submissions, single critical failures, multiple concurrent failures, and the Monday report trigger. Tests corrective action routing to the correct assignee. Confirms the weekly email format with the management distribution list. Resolves any issues found before handing over to user acceptance testing.
You
Your operations manager attends a one-hour user acceptance testing session with FullSpec. Submit three to five test inspections using the new Google Form and confirm that Airtable records, Slack alerts, and corrective action records look correct. Sign off that the logic matches your severity rules before Launch is scheduled.
4
Launch
Business days 19 to 20
Who
Actions
FullSpec
Switches the automation live on the confirmed date. Monitors the first batch of real submissions to confirm records are created correctly and alerts fire as expected. Delivers the SOP runbook and confirms Notion is updated with the operating guide for inspectors, team leads, and the operations manager.
You
Brief your inspectors on the new Google Form and confirm they have device access. Retire the paper checklist or shared spreadsheet from active use. Direct any questions about the live workflow to FullSpec at support@gofullspec.com during the first week.

03What FullSpec needs from you

FullSpec only needs access to your existing tools. No technical knowledge is required from your side. The table below lists every credential and the point at which it is needed. In most cases, everything is required before Connect closes so build can start without delays.

Tool
What we need
When
Google Forms
Admin access to the Google Workspace account so FullSpec can create and configure inspection forms
Before Connect closes
Airtable
Owner or Creator access to the Airtable workspace so FullSpec can build the base, tables, and views from scratch
Before Connect closes
Slack
Admin access or the ability to add a new app integration; name of the channel to receive critical failure alerts and the direct message handle for the corrective action assignee
Before Connect closes
Gmail
Access to the sending account and confirmation of the management distribution list email address for the weekly report
Before Connect closes
Notion
Editor access to the workspace where the SOP runbook will be stored
Before Launch
Automation platform
FullSpec provisions and manages the automation platform account as part of the build. No action needed from your side.
Handled by FullSpec
One decision must be confirmed before Connect closes: your failure severity classification rules. The QC Review Agent cannot be built until FullSpec knows what makes a failure Critical, Major, or Minor in your process. If these rules are not yet written down, FullSpec will run a short discovery session during Connect to define them with your operations manager. This is the single most important input for the entire build.

04Your role once live

Once the automation is live, the day-to-day workload split between your team and FullSpec is straightforward. The table below sets out ongoing responsibilities clearly so there is no ambiguity about who owns what.

Role
Ongoing responsibilities
What you no longer touch
You (business owner and operations team)
Inspectors submit the Google Form after each inspection. The operations manager reviews Slack alerts for critical failures and confirms corrective actions are resolved in Airtable. The management team reads the Monday morning email report. If failure severity rules change, notify FullSpec to update the classification logic.
Manual re-entry of checklist results into a spreadsheet. Compiling the weekly QC report by hand. Chasing inspectors for data. Logging corrective actions in a separate document. Sending unformatted failure emails.
FullSpec
Monitors the automation for errors and failed runs. Applies any changes to severity rules or report format when requested. Handles platform updates that could affect integrations. Responds to support queries at support@gofullspec.com within one business day.

05What success looks like

The table below sets out what you should expect to see at each stage after go-live. Use these markers to confirm the automation is delivering the improvements it was built for. If anything does not match, contact FullSpec at support@gofullspec.com.

Timeframe
What to expect
Sign of success
Week 1
Inspectors are submitting the Google Form after each inspection. Airtable is populating with new records in real time. At least one critical failure alert fires to Slack and a corrective action record is created automatically. The first Monday report email arrives on schedule.
Zero manual data entry from inspectors. Operations manager receives a Slack alert for any critical failure within 2 minutes of form submission.
Month 1
All inspection results are arriving in Airtable consistently. The operations manager is reviewing the Airtable corrective action view rather than a separate spreadsheet. Four weekly report emails have been sent and received without manual intervention. The team has settled into the new form-based routine.
6 hours per week of manual admin time recovered. No missed failure escalations. Corrective action records are current and linked to inspection events.
Month 3
Approximately 75 hours of manual inspection admin have been saved since go-live. The Airtable QC log provides a complete, timestamped audit trail for every inspection. Pass and fail rate trends are visible by category and inspector without any additional reporting effort. The business has a reliable, searchable record ready for any customer complaint or audit.
Annual admin cost of QC reduced from $9,360 to $1,560. Audit preparation time reduced from hours of manual searching to a simple Airtable view filter. The build has paid for itself within 4 months.
Next step: FullSpec will send you a short access request form covering the tool credentials listed in Section 03. Once those are returned and your severity rules are confirmed, Connect closes and the build clock starts. Questions before then can go to support@gofullspec.com.
