This Launch Plan gives you a clear picture of what is being built, how the build unfolds, what you need to provide, and what to expect once the automation is live. It is written for you as the business owner or process sponsor. FullSpec handles every part of the technical build, testing, and deployment. Your role is to provide tool access, confirm one key configuration decision before work begins, and review outputs during testing.

01What you're launching

Right now, every meeting your team holds requires someone, typically your Operations Manager, to manually locate the recording, listen back, write a summary, extract action items, create tasks in ClickUp, draft a follow-up email, post to Slack, and file the document in Notion. That process takes 60 to 90 minutes per meeting and depends entirely on one person's availability and memory. This automation replaces all nine of those manual steps. The moment a Zoom session ends, three purpose-built agents handle transcription, structured summarisation, task creation, and distribution, delivering everything to the right people within five minutes of the call ending.

02How the build works

The build is structured into four sequential stages. FullSpec leads each stage end to end, from wiring up API connections through to testing on live meetings and handing over a working, monitored system. You do not need to be involved in the technical work at any stage. What matters most is that you have tool credentials ready before Connect closes and that you are available for a short review during the Test stage so we can confirm the output format meets your team's expectations.

Complexity level: Moderate. Estimated delivery window: 3 to 4 weeks (15 to 20 business days). The delivery clock starts at the close of Connect, not payment. Connect is the session where tool access is confirmed and sample recordings are collected. If access or samples are delayed, the timeline shifts accordingly.

03What FullSpec needs from you

FullSpec needs only access to your existing tools. No technical knowledge is required from you or your team. All credential handling, API authentication, and integration wiring is done by FullSpec. The table below lists exactly what is needed for each tool and when to have it ready.

One decision you must confirm before Connect closes: Do you want a human review step active in the flow? In the Standard build, the Operations Manager receives the draft summary for approval before it is emailed to attendees and posted to Slack. If you skip the review step, distribution is fully automatic. This choice affects how the Distribution Agent is wired and cannot be changed easily after the Build stage begins. FullSpec recommends keeping the review step on for the first 30 days, then disabling it once you are confident in the output quality.

04Your role once live

Once the automation is live, your team's involvement drops to a light monitoring and review role. The table below sets out ongoing responsibilities clearly so there is no ambiguity about who does what.
