This runbook is your day-to-day operating guide for the automated Asset and Equipment Tracking process. It tells you exactly what the system does on its own, what your team still needs to do by hand, and how to respond when something goes wrong. FullSpec built and configured every automated step described here. Your role is to handle the one manual step, keep the Airtable register accurate, and review the monthly audit report when it arrives in Slack.
01Process overview
The Asset and Equipment Tracking process covers the full lifecycle of every physical item in your register, from the moment a new asset arrives through assignment, maintenance scheduling, loan tracking, and eventual disposal or write-off. Before automation, an operations coordinator spent roughly 6.5 hours per week on manual register updates, reminder chasing, and quarterly audits. The automated build reduces that to around 1 hour per week, with three agents handling validation, scheduling, and finance sync in the background. The only step that stays human is physically printing and attaching the QR label to each asset, which takes under three minutes per item.

02Step-by-step: what happens and who acts
What you actually need to do: There is one human step in this entire process. After the Asset Intake Agent validates a new record and the QR Code Generator API creates the label URL, your Operations Coordinator needs to print that label and physically stick it to the asset. Everything else, including validation, ID generation, Slack notifications, calendar scheduling, overdue alerts, and Xero sync, happens automatically without anyone needing to log in or take action.

On a scheduled monthly cadence, the automation exports a reconciliation report from Airtable, flags any assets with no recent status update, and posts the summary to the operations Slack channel. The Operations Manager reviews it and confirms or flags items. This review takes approximately 10 minutes.

03Handling exceptions
Situation
What the system does

A new asset record is missing required fields (e.g. purchase date, cost, or assigned staff member)
The Asset Intake Agent flags the record in Airtable with a status of 'Incomplete' and sends a Slack alert to the Operations Coordinator listing the missing fields. The QR code is not generated and no Slack assignment notification is sent until the record is complete.
Open the flagged record in Airtable, fill in the missing fields, and save. The agent re-runs automatically on the update and continues the workflow from where it stopped.
A duplicate asset ID or duplicate serial number is detected in the register
The Asset Intake Agent identifies the conflict, marks the newer record as 'Duplicate Detected', and sends a Slack alert to the Operations Coordinator with a link to both records for comparison.
Review the two records in Airtable. Merge or delete the duplicate, update any fields that differ, and ensure the correct record carries the right ID. The automation will process the surviving record on your next save.
A loaned asset is not returned by its due date and the borrower does not respond to the automated Slack reminder
The system sends a second Slack alert 48 hours after the first, this time copying the Operations Manager directly. The asset record is flagged as 'Overdue' in Airtable and appears in the next monthly audit report.
Contact the borrower directly. If the asset cannot be located, update the Airtable record to 'Missing' and set the disposal flag so the Finance Sync Agent can initiate the write-off process in Xero.
The QR Code Generator API is unavailable or returns an error
The automation platform retries the API call three times over a 15-minute window. If all retries fail, the asset record is flagged with 'Label Pending', and a Slack alert is sent to the Operations Coordinator noting the failure. The rest of the workflow (assignment notification, maintenance scheduling, Xero sync) continues normally.
Check the QR Code Generator service status. Once the service is restored, re-trigger the label generation by making a minor edit and saving the Airtable record, which will prompt the agent to re-attempt. If the outage is prolonged, generate the QR code manually using the asset ID and update the URL field in Airtable by hand.
Xero is unavailable or the Finance Sync Agent cannot post a fixed-asset entry
The automation platform retries the Xero API call up to five times over a one-hour window with exponential backoff. If all attempts fail, the asset record is tagged 'Xero Sync Pending' in Airtable and a Slack alert is sent to the Operations Coordinator and Finance Officer.
Ask your Finance Officer to check Xero connectivity. Once resolved, the Finance Sync Agent will re-attempt automatically on the next scheduled run. If the issue persists beyond 24 hours, the Finance Officer should enter the fixed-asset record in Xero manually using the details in the Airtable record, then clear the 'Xero Sync Pending' tag.
An asset is disposed of or written off but the record is not updated in Airtable before Xero is queried
The Finance Sync Agent will not create a write-off entry in Xero if the disposal flag has not been set in Airtable. The asset continues to appear as active in the register and in audit reports.
Set the disposal flag in the Airtable record and enter the disposal date. The Finance Sync Agent will then push the write-off entry to Xero automatically. Do not enter the write-off in Xero manually unless the Xero Sync Pending tag has been set, to avoid creating duplicate entries.

Fill in the rows marked with brackets once your team is confirmed. The FullSpec rows at the bottom are fixed and do not need updating. Refer to this table whenever you need to escalate an exception, request a configuration change, or report an error that the system has not resolved automatically.

05Ongoing maintenance
The automation runs without daily intervention, but a small number of routine tasks keep it accurate and reliable over time. The table below sets out when each task should happen, what to do, and who is responsible.
Any time a new asset category is added (e.g. a new class of equipment your business did not previously track)
Add the new category to the Airtable category field dropdown and confirm with FullSpec whether the maintenance interval logic or Xero account code mapping needs updating for that category.

Monthly, when the audit report lands in Slack
Review the reconciliation report posted to the operations Slack channel. Confirm any flagged assets (no recent status update, overdue loans, pending labels). This review takes approximately 10 minutes. Log any discrepancies by updating the relevant Airtable records.

Check the Airtable automation activity log and the Slack error channel for any recurring 'Xero Sync Pending' or 'Label Pending' flags that have not been resolved. If the same asset type is failing repeatedly, notify FullSpec.

Update the assigned staff member field on any assets linked to that person in Airtable. If the departing staff member was a responsible person for maintenance reminders, reassign those assets to the correct replacement. For leavers, check for any open loans in the register.

Review total asset volume, the number of events processed per month, and whether the current Airtable plan and workflow automation platform tier still match your usage. Share the figures with FullSpec if you are approaching plan limits or if asset volume has grown significantly.

The most common maintenance issue for this process is stale staff assignments. When a team member leaves or moves to a different role, assets assigned to them in Airtable are not automatically reassigned. Maintenance reminders and overdue loan alerts will continue to go to the old assignee until the record is updated. Make updating asset assignments part of your standard offboarding checklist to prevent reminders disappearing into an inactive inbox.
