This Launch Plan is your end-to-end guide to getting the Asset and Equipment Tracking automation live. It covers what is being built, how the four-stage build process works, what FullSpec needs from you before work begins, what your ongoing role looks like once the system is running, and the milestones that confirm success at one week, one month, and three months. FullSpec handles everything on the build side. Your role is to provide tool access, confirm one configuration decision before the Connect stage closes, and review results once the system is live.
01What you're launching
You are launching a three-agent automation that covers the full lifecycle of your physical assets, from intake and QR label creation through to maintenance scheduling, overdue loan alerts, and depreciation sync into Xero. Today your operations coordinator spends roughly 6.5 hours per week on manual register updates, calendar reminders, and chasing equipment returns. After launch, those tasks run automatically. Two steps remain manual: physically attaching the printed QR label to each asset, and your operations manager reviewing the monthly audit summary before signing off. Everything else is handled by the system.

02How the build works
FullSpec builds, tests, and launches the automation across four sequential stages: Connect, Build, Test, and Launch. Each stage has a clear set of actions for the FullSpec team and a small set of actions for you. The stages are designed so that your time commitment stays low throughout the build. You will not be expected to configure anything technical. The total estimated build effort is 28 hours of specialist work completed by the FullSpec team across a 4-week delivery window.
Complexity level: Moderate. Estimated delivery window: 15 to 20 business days. The delivery clock starts at the close of Connect, not payment. Connect must be completed and all credentials confirmed before the build timer begins.

03What FullSpec needs from you
FullSpec only needs access to your existing tools. No technical knowledge is required from you or your team. The table below lists every credential needed and when it must be provided. All credentials should be ready before Connect closes so the build stage can start without delay.

One decision must be confirmed before Connect closes: your finance officer must supply the correct Xero account codes and depreciation methods for each asset category (for example, IT hardware, office furniture, plant and equipment). Without this, the Finance Sync Agent cannot be configured correctly and Xero entries may post to the wrong accounts. FullSpec will provide a simple one-page reference sheet to guide this conversation with your finance team.
04Your role once live
Once the automation is live, the day-to-day register management, reminder sending, and Xero data entry that previously occupied your coordinator are handled automatically. Your team's remaining involvement is minimal and focused on oversight rather than execution.

05What success looks like

The Asset Intake Agent is live and processing real asset events. New assets entered into Airtable generate a QR code URL automatically and send a Slack assignment notification within minutes. The Maintenance Scheduler Agent is creating Google Calendar events for all active assets with a maintenance interval.
At least one real asset event processed end-to-end with no manual input required from the coordinator
Month 1
All three agents are running consistently across the full volume of approximately 60 asset events per month. Maintenance reminders are being sent on time with no coordinator intervention. The Finance Sync Agent has posted at least one real fixed-asset entry to Xero. The first monthly audit report has been posted to the Slack operations channel.

The register accuracy is at or above 98 percent. No loaned assets are overdue without an automated alert having been sent.
