Launch Plan

Regulatory Change Monitoring

[YourCompany.com] · Legal Department · Prepared by FullSpec · [Today's Date]

This Launch Plan is your complete guide to how the Regulatory Change Monitoring automation is built, tested, and handed over for live operation. It covers every stage from initial setup through to go-live, explains what FullSpec handles and what your team needs to do, and sets clear expectations for what success looks like in the first three months. No technical knowledge is required on your side. FullSpec manages the entire build end to end.

01What you're launching

Right now your Compliance Coordinator spends five to seven hours every week manually visiting regulatory websites, reading documents to judge relevance, writing summaries, logging changes in a register, routing items by email, and chasing follow-ups. Updates get missed when that person is busy, there is no shared system, and audit trails are incomplete. This automation replaces the repetitive data-gathering and communication work entirely: a daily scan pulls new content from all your configured sources, an AI agent classifies and summarises each item, every relevant change is logged automatically in your Airtable register, and your team receives a structured Slack alert or weekly digest the same day a regulation is published. The one step that stays human is reviewing borderline items, keeping a person in the loop for judgement calls without any of the grunt work.

Process
Regulatory Change Monitoring
Trigger
A regulatory body or legal publisher posts a new rule, amendment, consultation, or enforcement notice. The automation also runs on a daily scheduled scan.
Final output
A timestamped Airtable compliance register entry, a Slack alert routed to the responsible owner, and a weekly digest email sent to management via Gmail.
Agents being built
3 agents: Source Monitor Agent, Relevance and Summary Agent, Alert and Digest Agent
Tools involved
Feedly, Airtable, Slack, Gmail, Notion
Volume
40 to 80 regulatory sources monitored per month; approximately 240 automated runs per month

02How the build works

The build follows four stages: Connect, Build, Test, and Launch. FullSpec leads every technical task at each stage. Your role is confined to a small set of decisions and approvals, all of which are flagged clearly before they are needed. The total delivery window is four business weeks, broken across the stages below. You do not need to be available continuously, only at the specific checkpoints shown.

Complexity level: Moderate. This build involves three connected agents, a relevance scoring configuration, a topic-to-owner routing table, and integrations across five tools. Estimated delivery is 15 to 20 business days. The delivery clock starts at the close of Connect, not payment.
1
Connect
Business days 1 to 3
Who
Actions
FullSpec
Sends a credential request checklist for Feedly, Airtable, Slack, Gmail, and Notion. Reviews your existing source list and feed structure. Maps jurisdiction tags and topic categories against your business profile. Confirms the routing table logic and relevance scoring thresholds with your compliance lead.
You
Provide API credentials or admin access for each tool (see Section 03). Share your current list of regulatory sources, bodies, and websites. Confirm which topic categories map to which internal owner. Approve the proposed relevance scoring rules before build begins.
2
Build
Business days 4 to 14
Who
Actions
FullSpec
Configures Feedly collections and any custom web watchers for sources without RSS feeds. Builds the Source Monitor Agent with deduplication logic and Airtable intake. Builds the Relevance and Summary Agent, configures the classification prompt, and calibrates scoring against a backlog of real items. Builds the Alert and Digest Agent including the Slack formatter, weekly digest email template, and overdue follow-up reminder logic.
You
Remain available for one short check-in mid-build (typically 30 minutes) to review sample classification outputs and confirm the routing table is matching the correct owners. No technical input is needed.
3
Test
Business days 15 to 18
Who
Actions
FullSpec
Runs the full automation against live source data alongside the existing manual process. Validates relevance scoring accuracy, alert routing correctness, Airtable register completeness, and digest email formatting. Resolves any errors before sign-off.
You
Your compliance lead reviews the automated outputs each day during the parallel test period and flags any item where the classification or routing does not match expectations. This takes approximately 15 to 20 minutes per day for the test window.
4
Launch
Business days 19 to 20
Who
Actions
FullSpec
Switches the automation to live operation. Delivers the SOP and runbook, documents the routing table and scoring rules, and completes the handover session with your compliance coordinator. Monitors the first 48 hours of live runs and resolves any early issues.
You
Attend a 45-minute handover session. Confirm the manual process is stood down. Your compliance coordinator begins live operation using the delivered SOP. From this point, FullSpec is available at support@gofullspec.com for any issues.

03What FullSpec needs from you

FullSpec needs only access to your existing tools. No technical knowledge is required from your team. All credentials are used solely to connect the automation to the platforms you already pay for. The table below lists exactly what is needed for each tool and when it must be provided.

Tool
What we need
When
Feedly
Admin login or API key for your Feedly account, plus the list of RSS feeds and websites to monitor
Before Connect closes
Airtable
Workspace invite with Creator permissions, or an API token with read/write access to the compliance register base
Before Connect closes
Slack
Slack workspace admin approval to install the automation app and access to the relevant compliance channels
Before Connect closes
Gmail
A Gmail account or Google Workspace address to send digest emails from, with OAuth consent granted to the automation
Before Connect closes
Notion
Workspace invite with edit access to the pages where regulatory summaries and team knowledge are stored
Before Connect closes
One decision your team must confirm before Connect closes: the topic-to-owner routing table. This is the list that maps each regulatory topic category (for example, data privacy, financial services conduct, health and safety) to the specific person internally who receives the Slack alert and owns the action. Without this confirmed list, the Relevance and Summary Agent cannot be configured and the build cannot start. Your compliance lead or legal operations manager should prepare this list in advance of the Connect session.

04Your role once live

Once the automation is live, the day-to-day monitoring, classification, logging, and alerting all run without any input from your team. Your compliance coordinator shifts from doing the process to overseeing it. The table below summarises ongoing responsibilities on both sides.

Role
Ongoing responsibilities
What you no longer touch
You (business owner and compliance team)
Review the weekly digest email each Monday. Make final calls on any borderline items flagged for human review (approximately 5 minutes per item, typically one to three per week). Update the routing table when team roles change. Add or remove sources from the monitored list via a simple Feedly update.
Manually visiting regulatory websites. Reading and assessing relevance of raw publications. Writing plain-language summaries. Logging items in the Airtable register. Routing items by email. Chasing overdue action owners. Compiling the monthly digest report.
FullSpec
Monitors the automation for errors or failures. Investigates and resolves any source watcher that breaks (for example, due to a website structure change or a new login gate). Applies updates to the classification logic if relevance accuracy drifts over time. Available at support@gofullspec.com for any issues or change requests.

05What success looks like

The targets below are based on the benchmarked numbers from your process mapping session. They give your compliance coordinator and management team clear checkpoints to confirm the automation is performing as expected. If any metric falls short, contact FullSpec at support@gofullspec.com and the team will investigate within one business day.

Timeframe
What to expect
Sign of success
Week 1
The daily scan is running, all configured sources are returning content, and the first Slack alerts and Airtable entries are appearing automatically. Your compliance coordinator is reviewing the digest and flagging any classification mismatches to FullSpec for calibration.
At least one real regulatory item detected, classified, logged, and alerted without any manual input from your team.
Month 1
The relevance scoring is calibrated to your topic profile. Borderline items are being held for human review correctly. The weekly digest email is arriving each Monday with a structured summary of the week's changes. Register completeness is trending toward 100%.
Weekly monitoring time is down to approximately 1 hour (digest review only), compared to 6.5 hours previously. No regulatory items missed during the month.
Month 3
The automation is running without intervention. The Airtable register is complete and timestamped, providing a clear audit trail. Overdue follow-up reminders are reducing the number of unacknowledged action items. Annualised staff cost savings are on track toward $15,730/year.
Payback on the $5,200 build cost is on track for the 4-month mark. Alert turnaround is same-day for all monitored sources. The compliance team has not visited a regulatory website manually since go-live.
Next step: to get started, reply to your FullSpec onboarding email or contact the team at support@gofullspec.com to schedule your Connect session. Before that session, ask your compliance lead to draft the topic-to-owner routing table and pull together your current list of regulatory sources. That preparation will allow Connect to close in a single session and the delivery clock to start immediately.
