This Launch Plan is your single reference for how the Employee Satisfaction and Pulse Survey automation gets built, tested, and handed over to your team. It covers what FullSpec is building, the four stages of the build, what you need to supply, what your ongoing role looks like once the automation is live, and how to tell whether things are working as intended. FullSpec handles all technical work end to end. Your input is limited to providing tool access and one configuration decision before work begins.
01What you're launching
Right now, your HR team manually pulls employee lists from BambooHR, sends every survey invitation and reminder via Gmail, exports and cleans Typeform response data, calculates scores in Google Sheets, and writes the narrative report in Notion before emailing it to leadership. Each cycle consumes between four and six hours of HR time and response rates suffer when reminders get forgotten. This automation replaces all of that routine work with two agents: one that handles the full send and reminder cycle during the survey window, and one that scores the data and drafts the leadership report the moment the window closes. HR's only remaining task is a short review of the Notion summary before it reaches leadership.

02How the build works
The build runs across four stages over four weeks. FullSpec manages all configuration, integration, testing, and quality assurance. You are not required to write code, configure APIs, or learn any new tool. Your involvement at each stage is small and clearly defined below. The stages run in sequence: each one must be signed off before the next begins.
Complexity level: Moderate. Estimated delivery window: 4 weeks (20 business days). The delivery clock starts at the close of Connect, not payment. Until Connect closes and all tool access is confirmed, the build has not started.

FullSpec
Sends a credential request form listing exactly what is needed from each tool. Reviews API access levels for BambooHR, confirms Typeform plan supports webhook or API export, checks Gmail sending limits, and maps the survey schedule and department segmentation rules with your HR contact.

Complete the credential request form, share the BambooHR API key, confirm your Typeform plan tier, and confirm the survey schedule (weekly pulse, monthly full survey, or both). Attend a 30-minute kickoff call with FullSpec.
2Build
Business days 6 to 15
FullSpec
Builds the Survey Distribution Agent: BambooHR employee list pull, personalised Gmail invitation send, Typeform response status check, Google Sheets logging, and single non-responder reminder logic. Then builds the Response Analysis Agent: Typeform export trigger, Google Sheets scoring and eNPS calculation, AI narrative generation, Notion page creation, and Slack and Gmail report delivery steps.

Confirm your Typeform question set is finalised before the Response Analysis Agent build begins. Review and approve the Notion report template design when FullSpec shares a draft. No other action required during this stage.
3Test

FullSpec
Runs two full simulated survey cycles end to end. Confirms reminder logic does not double-send, validates that automated Google Sheets scores match manual calculations, and reviews AI narrative quality against HR's standards. Shares a QA summary report with your team.

Your HR Manager reviews the two sample Notion reports generated during testing and confirms the narrative quality meets the standard expected before reports go to leadership. Flag any wording adjustments within 24 hours so FullSpec can tune the AI output before go-live.

Business days 19 to 20
FullSpec
Switches the automation to live mode against your real employee list and live survey schedule. Monitors the first full cycle in real time, confirms all delivery steps fire correctly, and remains available for same-day fixes during the first cycle run.

Confirm the go-live date aligns with your next scheduled survey cycle. Notify your HR Manager to expect the first automated Notion report and to allow 15 minutes to review it before the Slack and Gmail notification fires to leadership.

03What FullSpec needs from you
FullSpec needs only access to your existing tools. No technical knowledge is required from your side. The table below lists every credential needed and when to have it ready. All access requests are sent via a secure form during the Connect stage, and credentials are stored encrypted and never shared outside the build environment.

API key from a BambooHR admin account, with read access to the active employee list (name, email, employment status, start date)

Admin login or API token confirming your plan supports API response export (Business plan or above). Confirmation that your current survey form is finalised.

A dedicated Gmail account (or Google Workspace alias) used for survey sends, with OAuth authorisation granted to the automation platform via the FullSpec secure auth flow

Name of the Slack channel where HR response-rate alerts and the final report link should be posted. FullSpec will add the automation as a Slack app during the Connect stage.

One decision required before Connect closes: confirm whether the final Notion report should be distributed to leadership automatically (via the Slack post and Gmail send) as soon as HR marks the report as reviewed, or whether a second manual approval step is needed before each send. This affects how the Report Delivery step is wired and cannot be changed without a rebuild. HR teams running surveys that include sensitive topics such as management ratings or pay satisfaction typically opt for the manual second approval. FullSpec recommends confirming this with your Operations Director before the Connect call.

Review the Notion report after each survey cycle closes (approximately 15 minutes per cycle). Update Typeform questions when survey themes change. Notify FullSpec if your employee headcount changes significantly or if a new department needs to be added to the segmentation rules. Handle any sensitive follow-up conversations that arise from results.

Monitor the automation for errors and delivery failures. Respond to support queries at support@gofullspec.com. Apply fixes if any tool API changes break the integration. Provide a monthly health summary for the first three months after go-live. Update the build if your survey schedule or distribution rules change.
Not applicable. FullSpec does not have a reduced role after go-live. All technical maintenance remains with FullSpec.

HR time on the first cycle is under 30 minutes. No manual steps required to distribute the report.
Month 1
All scheduled cycles in the month run without manual intervention. Response rates are tracked automatically in Google Sheets and visible to HR in real time. Leadership receives reports on the same day the survey closes rather than days later. HR and FullSpec review any narrative quality adjustments needed.
Response rate reaches or exceeds 74% across the month. HR reports confidence in the automated output quality.
Month 3
The automation has run enough cycles to produce trend comparisons across periods. The Response Analysis Agent is flagging department scores below threshold reliably. HR is using the time saved to focus on follow-up conversations and people management rather than data administration. Running cost of the automation is well within the projected $1,200 per year.
Annualised HR time saving is tracking toward 250 hours per year. Leadership is receiving consistent, timely reports every cycle with no escalations to HR about delays.
