02Before build starts
The items below must be in place before the builder begins work. Delays at this stage push every phase back. Work through this list with your builder at the kick-off call.
Confirm access to FullSpec Automation : The Standard build uses FullSpec Automation for orchestration at $135/month. Confirm the subscription is active and credentials are available.
Confirm Buffer account and plan : Buffer is used for scheduling and publishing at $15/month. Confirm the plan supports API access and the number of channels in scope.
Confirm Google Analytics property access : The Reporting Agent pulls metrics from Google Analytics. Confirm the correct GA4 property is identified and that an admin can grant API access.
Confirm Canva access for the Channel Formatting Agent : Canva is used to produce channel-ready post assets. Confirm API or brand kit access is available for the builder.
Confirm Slack workspace and channel : The weekly performance report is shared to a Slack channel. Identify the target channel and confirm the builder can install a bot or webhook.
Identify the content calendar and approval trigger : The automation starts when a post is approved in the content calendar. Confirm which tool holds the calendar and what the approval signal looks like (status change, tag, or webhook).
Agree on channel list and format rules : Provide the builder with the list of active channels and any per-channel formatting rules (character limits, hashtag conventions, image sizes).
Nominate a process owner for sign-off : One person must be available to review and approve the automation at the end of each build phase. Confirm who this is before build starts.
Agree on escalation path for failed publishes : When a post cannot publish automatically, it must reach a named person. Confirm who receives the alert and by which channel.
Agree on reporting window and recipients : Confirm the day and time the weekly performance report should be compiled and who receives it.
The builder cannot begin environment provisioning until Buffer, Google Analytics, and FullSpec Automation credentials are shared. Prioritise these three items first.
03Build phases
The Standard build runs across three weeks. Each phase ends with a review point. The builder will not move to the next phase without a brief confirmation from the process owner. Total estimated build effort is 52 hours.
1Foundation and integrations
Week 1: Provision environment, connect all tools, and confirm secure auth for Buffer, Google Analytics, Canva, Slack, and FullSpec Automation. Validate the content-approval trigger fires correctly.
2Agent builds: Channel Formatting and Scheduling
Weeks 1 to 3: Build and test the Channel Formatting Agent (adapts posts per channel) and the Scheduling Agent (schedules and confirms publishing via Buffer). Owner reviews sample outputs before phase closes.
3Reporting Agent, end-to-end QA, and go-live
Week 3: Build and test the Reporting Agent (pulls metrics, compiles weekly report). Full regression across all three agents. Stakeholder sign-off. Go-live with monitoring active.
A short tuning period is expected after go-live. Scheduling times, format rules, and report thresholds may need small adjustments against real data in the first two weeks.

04Go-live checklist
Complete every item on this checklist before flipping the automation to live. The builder and the process owner should run through this together on the day of launch.
All three agents tested end to end with real content : At least one post has been run through the full flow, from approval trigger to published output, in a staging or test environment.
Channel Formatting Agent outputs reviewed by process owner : Confirm that formatted posts match channel requirements for every active platform before live traffic is sent through.
Scheduling Agent confirmed in Buffer : At least one post has been scheduled and confirmed as published via Buffer in the test run. Timing rules are set correctly.
Failed-publish alert tested and routed correctly : Simulate a failed publish and confirm the alert reaches the nominated escalation contact via the agreed channel.
Reporting Agent output reviewed : Confirm the weekly report pulls from the correct GA4 property, includes all active channels, and is delivered to the correct Slack channel at the agreed time.
Credentials stored securely in the automation environment : No passwords or API keys are stored in plain text. All credentials are held in the secure credentials store inside FullSpec Automation.
Monitoring and error alerts active : FullSpec Automation monitoring is switched on. Any agent failure will trigger an alert to the process owner within 15 minutes.
Rollback plan agreed : If a critical failure occurs in week one, the team knows the steps to pause the automation and revert to the manual process temporarily.
Process owner briefed on how to update rules : Confirm the process owner knows how to adjust scheduling times, format rules, and report recipients without needing the builder.
Go-live date and time confirmed with the team : All stakeholders are aware of the launch window. No major campaigns are scheduled in the first 24 hours that cannot absorb a brief delay.
