Question 1

What kind of work can we automate with Zenzap?

Accepted Answer

You can automate notifications and alerts to Zenzap channels based on events in other business tools - for example, sending a message to a channel when a record is created, updated, or reaches a certain status. You can also automate the posting of summary data, reports, or status updates from external systems into Zenzap channels so teams stay informed without manual copy-paste. This keeps communication centralized while reducing the need for team members to manually check multiple systems.

Question 2

How does data move between Zenzap and other business tools?

Accepted Answer

Data typically flows into Zenzap through webhooks or API connections that trigger messages or channel posts when events occur in connected systems. Data can also flow out of Zenzap - for instance, reactions, mentions, or threaded responses can be captured and sent to other tools for logging or further action. The structure of the message (text, formatting, metadata) depends on how the automation is configured, so it's important to map what information needs to be included when setting up the connection.

Question 3

What problems come up when automating with Zenzap?

Accepted Answer

A common issue is message routing - if you're sending automated alerts to many channels, messages can get lost or ignored if teams don't monitor them consistently. Another gotcha is permission boundaries: an automation account needs appropriate access to channels and workspaces, and permission changes can break automations silently. Also, if Zenzap is unavailable or an API endpoint fails, messages may not deliver, so automations that depend on Zenzap for critical notifications need fallback communication paths.

Question 4

How should we set up Zenzap channels and workspaces for automations to work reliably?

Accepted Answer

Create dedicated channels for specific types of automated notifications (alerts, reports, approvals) rather than mixing them with general team chat, so relevant people can easily subscribe and automations stay organized. Establish clear naming conventions for channels and automation accounts so team members know which channels are automated and which require human responses. Assign the automation account appropriate permissions at the workspace level and periodically audit those permissions to prevent access drift as your team structure changes.
