Question 1

What tasks can I automate when using Week Plan with other tools?

Accepted Answer

You can automate the transfer of new tasks or events into Week Plan from other applications, such as creating weekly plan entries when records are added to a database or form submission tool. You can also automate the reverse: pulling completed or updated tasks from Week Plan and sending that data to external tools for further processing or logging. However, Week Plan automation typically handles task creation and status updates rather than the internal planning logic or priority-setting that happens within the app itself.

Question 2

How does data flow between Week Plan and other business tools?

Accepted Answer

Data moves into Week Plan when an external tool creates a new task or event based on a trigger (for example, a new incoming request generates a task in your weekly plan). Data moves out of Week Plan when you extract task details like title, due date, or completion status to sync with other platforms. The specific fields that can be mapped depend on your automation platform's Week Plan connection, which typically includes basic task information but may have limits on syncing internal metadata or planning hierarchy.

Question 3

What problems commonly occur when automating around Week Plan?

Accepted Answer

A common issue is task duplication when automation rules trigger multiple times or when the same task is created both manually and through automation. Another gotcha is time zone or date format mismatches between Week Plan and external tools, which can cause tasks to land on the wrong day or week. Additionally, Week Plan's focus model (which distinguishes between important and urgent work) is not always exposed through integrations, so automated tasks may not respect your intentional planning categories.

Question 4

How should I structure Week Plan so automations work reliably?

Accepted Answer

Set up consistent task naming or tagging conventions so that incoming automated tasks can be identified and filtered easily within Week Plan. Create dedicated projects or sections in Week Plan where automated tasks will land, separate from your manual planning, to prevent mixing sources and to track automation performance. Document which external events should trigger task creation and ensure your automation rules are configured to avoid duplicates by checking for existing tasks before creating new ones.
