Question 1

What kind of manual work can I automate with Viva Connections?

Accepted Answer

Viva Connections automates the process of manually checking multiple systems and compiling trigger events into a single dashboard view. When you connect Viva Connections to other tools via automation, incoming events from those tools are transformed into Cards that appear as organized lists on your Viva Connections dashboard. Instead of logging into separate applications to check for new records, notifications, or status changes, your team sees aggregated data in one place without manual data entry or copy-paste work.

Question 2

How does data flow between Viva Connections and other business tools?

Accepted Answer

Viva Connections acts as a dashboard layer within SharePoint that receives data from connected tools through automation workflows. When a trigger occurs in another application, automation platforms send that event data to Viva Connections, which converts it into a Card that displays on your dashboard. Data flows one direction: from source systems into Viva Connections for display and aggregation. Viva Connections does not typically send data back to source systems; it is a consumption point for information.

Question 3

What are common issues when automating work with Viva Connections?

Accepted Answer

One major gotcha is that Cards created from automation depend on properly formatted data from source systems; if incoming data is incomplete or malformed, Cards may display incorrectly or fail to populate. Another issue is that Viva Connections dashboard updates are event-driven, meaning if automation workflows do not fire or trigger conditions are too narrow, important events will not appear on your dashboard. Additionally, users may experience confusion about Card limits or refresh behavior if automation workflows send more data than the dashboard can display or organize effectively.

Question 4

How should I set up Viva Connections to support reliable automations?

Accepted Answer

Structure your Viva Connections dashboard before building automations by planning which Card types will display which events and defining clear naming conventions. Ensure your source systems are connected to automation workflows with well-defined triggers and consistent data mapping so that incoming events produce properly formatted Cards. Test automation workflows with sample data first to confirm Cards appear as expected before deploying to your full team, and document which triggers feed into which Cards so team members understand what they are seeing and why.
