Question 1

What manual work can I automate by connecting Orca Scan to other tools?

Accepted Answer

You can automate downstream tasks that happen after barcode data is captured in Orca Scan, such as sending that data to databases, spreadsheets, or business systems without manual re-entry. Common automations include triggering notifications when items are scanned, creating records in other platforms based on scan data, or updating inventory or tracking systems in real-time. The no-code field structure of Orca Scan means you control what data is captured, which determines what downstream automations become possible.

Question 2

How does data flow from Orca Scan into other business tools?

Accepted Answer

Orca Scan can send barcode scan data to external platforms through webhooks or API connections, allowing each scan to automatically create or update records elsewhere. When you configure a barcode system in Orca Scan with specific fields, those fields and their values are passed along to connected tools when a scan occurs. This data flow is one-directional from Orca Scan outward, meaning Orca Scan captures and sends data, but does not pull updates back from external systems into the barcode interface itself.

Question 3

What gotchas should I watch for when automating with Orca Scan?

Accepted Answer

Field configuration errors are the most common issue: if a field is named or structured differently in Orca Scan than in your connected system, the automation may fail or create mismatched records. Barcode formatting and validation also matter, as invalid or improperly formatted barcodes may not trigger automations correctly. Additionally, mobile network connectivity can affect whether scans are transmitted in real-time, so offline-first workflows may need retry logic built into your automation.

Question 4

How should I structure my Orca Scan setup to make automations reliable?

Accepted Answer

Start by defining exactly which fields you need to capture in Orca Scan, and ensure field names and data types match what your connected systems expect. Use consistent barcode formatting and validation rules so scans are standardized and predictable for downstream automations. Test the full barcode workflow, including network conditions, before relying on automations in production, and document your field mappings so you can troubleshoot if data stops flowing correctly.
