Question 1

What tasks can I automate when using Moxie with other business tools?

Accepted Answer

You can automate data transfers between Moxie and other platforms, such as syncing contact information from your CRM, automatically creating project records in Moxie when new work comes in, or routing incoming data to the right place in Moxie based on rules you set. You can also trigger notifications or updates in connected tools when specific events happen in Moxie, like when a project status changes or a task is marked complete. The key is identifying repetitive data entry or status updates that happen across Moxie and your other tools, then removing the manual handoff.

Question 2

How does data move between Moxie and other platforms in an automation?

Accepted Answer

When Moxie is connected to other business tools, data typically flows in two directions: new information from external sources gets pushed into Moxie records (like a contact or project), and changes or completions in Moxie get sent back out to update those external systems. The connection usually works through standard data fields, so your business name, contact details, project information, or status updates can be mapped between systems. Make sure the data structure in Moxie matches what you are trying to bring in from other tools, otherwise information may not map correctly or fields may remain blank.

Question 3

What problems should I watch out for when automating with Moxie?

Accepted Answer

A common issue is duplicate records, which can happen if the same contact or project gets created in Moxie multiple times through different automation routes. Another gotcha is mismatched field types or formatting, such as phone numbers or dates coming in a format Moxie doesn't recognize, which can cause the automation to fail or store data incorrectly. Also be aware that if Moxie is your source of truth for certain information, updating that data manually while automations are also writing to the same fields can cause conflicts. Always test automations with sample data first and monitor the first few cycles to catch these issues early.

Question 4

How should I organize my Moxie workspace to make automations work smoothly?

Accepted Answer

Establish clear naming conventions for projects, contacts, and status fields so automations can reliably identify and sort records. Use consistent field structures across Moxie, meaning required information like phone numbers, email addresses, or dates should always be in the same place and format. Define your workflow stages and statuses in advance, since automations often trigger based on these values. Also designate specific people or teams to own each section of your workspace, so automations do not conflict with manual updates and everyone knows which records are managed by automation versus by hand.
