Question 1

What manual work can I automate when using Hexfit?

Accepted Answer

You can automate data entry into Hexfit from other tools, trigger notifications or follow-up actions when contact records reach certain milestones, and sync Hexfit data to external systems like spreadsheets or reporting dashboards. For example, when a contact's objective status changes in Hexfit, you can automatically create a task in your project management tool or send an alert to a team member. This reduces manual record-keeping and ensures your team stays informed without checking Hexfit directly.

Question 2

How does data flow between Hexfit and other business tools?

Accepted Answer

Hexfit connects to other tools through API integrations and automation platforms, allowing data to move in and out based on triggers and actions you define. When a contact record is created or updated in Hexfit, that information can be sent to a connected CRM, database, or communication tool. Conversely, data from external sources can be ingested into Hexfit to keep contact records current. The direction and frequency of data flow depends on how you configure the automation.

Question 3

What causes Hexfit automations to break or miss data?

Accepted Answer

Automations can fail if field mappings are incorrect between Hexfit and connected tools, if required fields in Hexfit are left blank, or if changes to Hexfit's data structure are not reflected in your automation rules. Missing or mismatched contact identifiers across systems can also cause data to go to the wrong record. Testing automations thoroughly before full rollout and keeping field structures aligned across your connected tools helps prevent these issues.

Question 4

How should I organize Hexfit to ensure automations work reliably?

Accepted Answer

Use consistent naming conventions and required field definitions for all contact records, so automated data from other tools maps correctly into Hexfit. Group contacts or objectives by clear status categories or tags that trigger your automations, and maintain a documented structure of how Hexfit connects to your other systems. Regular audits of contact data and automation logs help catch configuration drift before it causes missed updates.
