Question 1

What manual work around Fleep can we automate?

Accepted Answer

You can automate the creation of Fleep conversations and the routing of incoming messages to the right team or channel. For example, when a form submission or incoming email arrives, an automation can create a new Fleep conversation and add specific participants, or can post a message to an existing conversation with relevant data. This eliminates manual setup of conversations and reduces the need to manually copy information from external sources into Fleep.

Question 2

How does data move between Fleep and other business tools?

Accepted Answer

Data flows into Fleep through automations that trigger actions like creating conversations or posting messages based on events from external tools. Data flows out of Fleep through message capture, which allows automations to read messages or conversation metadata and send that information to other platforms like CRMs, spreadsheets, or document systems. Non-Fleep users receive messages and files as normal emails, but their replies come back through email integration.

Question 3

What problems occur when automating with Fleep?

Accepted Answer

A common gotcha is that email-only participants (those added by email address rather than Fleep accounts) receive messages via email and reply via email, which means their responses may not automatically sync back into Fleep or downstream systems without additional configuration. Another issue is that conversation creation must include proper participant setup upfront, or critical team members may miss important messages. Additionally, message formatting and file handling may behave differently between Fleep users and email participants, which can cause data loss or misalignment in downstream tools.

Question 4

How should we organize Fleep to make automations work reliably?

Accepted Answer

Establish clear conversation naming conventions and templates before building automations, so that bots can consistently create or find the right conversations. Define your participant structure in advance, especially whether partners or external contacts will use Fleep accounts or communicate via email, as this affects how automations route messages. Document which conversations are automation-managed versus manual, and set up dedicated automation accounts or service roles in Fleep with appropriate permissions so messages and data flow clearly and without access conflicts.
