Question 1

What manual work in Fieldfolio can be automated?

Accepted Answer

Order entry, order status tracking, and inventory synchronization are common candidates for automation. When Fieldfolio connects to other business tools, you can automate the flow of new orders into your fulfillment system, update inventory levels in real time across platforms, and trigger notifications when order status changes. This reduces manual data re-entry and keeps your systems in sync without intervention.

Question 2

How does data move between Fieldfolio and other tools?

Accepted Answer

Fieldfolio exposes order data, product catalogs, and account information through API connections. When integrated with other platforms, data typically flows outbound (orders and shipment details leaving Fieldfolio into accounting or fulfillment systems) and inbound (inventory or pricing updates sent back to Fieldfolio). The specific fields available depend on your Fieldfolio setup and the destination tool's API capabilities.

Question 3

What breaks when automating with Fieldfolio?

Accepted Answer

Inconsistent product codes or SKU formats between Fieldfolio and connected systems often cause mapping failures. Orders with custom fields or special terms may not sync correctly if your automation doesn't account for them. Rate limits on API calls can cause delays if you're syncing high order volumes. Testing with small batches first helps identify these issues before full deployment.

Question 4

How should I organize Fieldfolio to make automations work?

Accepted Answer

Standardize your product identifiers (SKUs, codes) so they match consistently across Fieldfolio and downstream systems. Ensure customer records have complete contact and account details, as missing data often blocks automated workflows. Keep your order status values aligned with what your automation platform expects. Document any custom fields you use, as these may require explicit mapping in your integration.
