Question 1

What manual work can I automate with DocsFold?

Accepted Answer

You can automate the creation of social media images, banners, and PDF documents by triggering DocsFold to generate them from your templates whenever data changes in connected systems. Instead of manually creating each asset or document, you define a template once in DocsFold, then automation sends it incoming data (like contact names, dates, or custom fields), and DocsFold outputs the finished files. Common automation patterns include generating branded documents when records are created, producing social assets on a schedule, or creating PDFs when a workflow reaches a certain step.

Question 2

How does data flow into and out of DocsFold in an automation?

Accepted Answer

Data flows in through your automation platform, which passes field values from your source system (CRM, spreadsheet, form, database) to DocsFold's template as variables. DocsFold then generates the output file using those values and returns the completed document or image. Your automation platform can then store, send, or distribute the generated file to other tools, email recipients, cloud storage, or other destinations. The key is mapping your source data fields to the placeholder variables in your DocsFold template.

Question 3

What are common gotchas when automating document generation with DocsFold?

Accepted Answer

Template variables must match exactly the field names or output from your source system, or the automation will fail silently or generate blank documents. Image and banner dimensions need to be set correctly in your template before automating, as misaligned layouts are difficult to fix at scale. If your source data contains special characters, very long text, or unexpected formats, DocsFold may truncate or misalign content, so you may need to clean or format data before sending it to the template. Testing with sample data first is critical to catch these issues before running the automation on large batches.

Question 4

How should I organize templates in DocsFold for reliable automations?

Accepted Answer

Create separate, clearly named templates for each document or image type you plan to automate, and document which fields and variables each template expects. Use consistent naming conventions for your template variables so they match the field names from your source system, and avoid leaving unused variables in the template. Store a reference guide or spreadsheet that maps each template to its input fields and output format, so whoever builds or maintains the automation can quickly verify the correct template and data flow. Test each template with sample data before connecting it to an active automation.
