Question 1

What manual work around Cobot can be automated?

Accepted Answer

Common tasks that can be automated include sending notifications to contacts when their membership or booking status changes, creating records in accounting systems whenever an invoice is generated, and syncing member data between Cobot and your CRM or communication tools. You can also automate workflows that respond to events like new bookings, membership expirations, or payment receipts by triggering actions in other business systems without manual intervention.

Question 2

How does data flow between Cobot and other tools?

Accepted Answer

Data can be pulled from Cobot via its API to feed into downstream systems like spreadsheets, databases, or accounting software. Automations typically trigger on events in Cobot (new member, invoice created, booking made) and push that data to connected tools, or they can query Cobot's API to retrieve member lists, booking history, or billing records on a schedule. The flow direction depends on your workflow: data usually moves from Cobot outward to systems that need billing, contact, or booking information.

Question 3

What gotchas should I watch for when automating Cobot workflows?

Accepted Answer

Cobot's API may have rate limits or response delays during peak hours, which can affect the reliability of real-time automations. Ensure custom field mappings between Cobot and connected systems are correct, as mismatched data types or missing required fields can cause records to fail silently. Be aware that member status changes, billing cycles, or booking cancellations can trigger multiple events in quick succession, potentially creating duplicate records or notifications if your automation isn't designed to handle that.

Question 4

How should I organize Cobot data and settings to support reliable automations?

Accepted Answer

Use consistent naming conventions and structure for member types, space names, and custom fields so that automations can accurately match and route data. Set up clear billing categories and invoice statuses in Cobot that align with your accounting system's chart of accounts. Test automations with sample bookings and member records first to confirm that data maps correctly before running them live, and document which events or record states trigger which downstream actions so changes don't break workflows unexpectedly.
