How The Automation Works

1. Project marked Ready for Deliverabletrigger

Workflow is triggered when a project status changes to 'Ready for Deliverable'. The automation captures the project ID, client name, and key metadata.

2. Fetch project data

The automation retrieves all relevant project information, client details, findings, and metrics using the project ID. This data is stored as variables for template population.

3. Select and populate template

Based on the project type, the automation selects the appropriate template from the shared drive and populates it with the fetched project data, client name, dates, and findings. Formatting is applied automatically.

4. Create draft and share with reviewers

The populated document is saved as a new draft and shared with the assigned reviewers (project lead, QA, partner) with edit permissions and a comment notification.

5. Notify reviewers

A message is sent to each reviewer with a direct link to the document, the review deadline, and a clear request for feedback. The message includes the project name and deliverable type.

6. Collect and consolidate feedback

The automation monitors the comments for 48 hours, collects all reviewer feedback, and consolidates it into a summary. Conflicting comments are flagged for the consultant to resolve manually.

7. Request final approval

Once feedback is consolidated and the consultant has made updates, the automation sends a follow-up message to each reviewer requesting explicit approval. Reviewers respond with a thumbs-up emoji or approval comment.

8. Log approval and archive

Once all reviewers have approved, the automation logs the approval timestamp, reviewer names, and document link. The final document is moved to the archive folder and the project status is updated to 'Deliverable Complete'.
