About This Automation

Real estate closing checklists track dozens of documents, signatures, and compliance items across multiple parties before a transaction closes. Manual coordination via spreadsheets and email creates delays, missed deadlines, and signature gaps that can postpone closings by days.

Automation generates customized checklists, tracks incoming documents in real time, sends deadline reminders automatically, and verifies compliance before closing. The closing coordinator focuses on exceptions and client communication instead of data entry and follow-up.

Key features:
Generate transaction-specific checklists automatically based on deal type and jurisdiction
Monitor incoming documents and match them to checklist items without manual entry
Send deadline reminders and escalations to parties for incomplete items
Verify all signatures and compliance requirements before closing
Provide daily summary reports to the coordinator and attorney

How The Automation Works

The full workflow, from trigger to completion.

1. New Closing Transaction Createdtrigger

A new transaction record is created in the case management system or a coordinator logs a new closing in the central register. The automation is triggered with transaction details including parties, property, and deal type.

2. Generate Checklist from Template

The automation platform retrieves the appropriate checklist template based on transaction type and jurisdiction, then populates it with transaction details, party names, and property information. The checklist is created with all required items pre-populated.

3. Assign Items to Parties

The automation assigns specific checklist items to each party (buyer, seller, lender, title company,) based on their role and the transaction type. Each party is tagged with their action items.

4. Send Checklist via Email

The automation sends a personalized email to each party with their assigned checklist items, deadlines, and submission instructions. Email includes a link to the shared checklist and instructions for document upload.

5. Monitor Document Submissions

The automation monitors the shared folder and email inbox for incoming documents. When a document is received, it is automatically logged in the checklist with the receipt date and linked to the corresponding item.

6. Send Automated Reminders

The automation sends reminder notifications to parties for any items not completed by their deadline. Reminders are sent via email and, with escalation to the closing coordinator if an item is overdue by more than 2 days.

7. Flag Incomplete Items for Review

The automation identifies any items still incomplete 48 hours before the scheduled closing date and flags them for immediate attorney review. A summary report is generated and sent to the attorney and closing coordinator.

8. Notify Parties of Closing Readiness

Once all items are marked complete and the attorney approves the checklist, the automation sends a final confirmation email to all parties with closing details, time, and location.
