A new maintenance job is marked as approved in the system. The automation reads the job details, location, skills required, and urgency.

2. Filter Available Subcontractors

An intelligent evaluates the subcontractor database against job requirements, location, and recent availability history. It ranks candidates by fit and recent performance.

3. Send Assignment Request via SMS

The top 3 eligible subcontractors receive an automated SMS with the job summary, location, time window, and a link to accept or decline within 2 hours.

4. Monitor Acceptance Responses

The system monitors incoming SMS responses and accepts the first confirmation. If no response within 2 hours, it escalates to the next candidate automatically.

5. Send Detailed Job Brief via Email

Once a subcontractor accepts, a formatted email is sent with full job details, address, contact, scope, rate, and any special instructions.

6. Log Assignment

The assignment is recorded with subcontractor name, job ID, scheduled time, and acceptance timestamp. The job status is updated to assigned.

7. Send Completion Reminder

At the scheduled job end time plus 30 minutes, an automated SMS reminder is sent asking the subcontractor to report completion status and any issues.

8. Capture and Log Completion

When completion is reported via SMS or email, the system records the finish time, status, and any notes and updates the job record to completed.
