How The Automation Works

1. Enrollment or Attendance Submittedtrigger

Participant submits enrollment form or attendance is logged via mobile form. The submission triggers the automation immediately.

2. Parse and Validate Submission

The automation extracts participant name, contact details, program name, and attendance date from the form. It validates required fields and flags incomplete submissions for manual review.

3. Check for Duplicate

The automation queries to see if the participant already exists by matching email, phone, or name. If found, the record is flagged as returning; if not, a new contact is created.

4. Create or Update Participant Record

A new contact is created with enrollment details, or an existing contact is updated with the latest attendance and program status.

5. Log Attendance

Attendance data is appended to a master attendance log, including participant ID, program, date, and any outcome notes.

6. Generate Monthly Report in BigQuery

On the first of each month, the automation queries attendance and enrollment data and, calculates attendance rates by program, and compiles outcome summaries.

7. Send Report and Alert

The completed monthly report is posted for leadership review. A summary message highlights key metrics and flags any programs below target attendance.
