1. Roster Planning Window Openstrigger
The automation is triggered on a scheduled day (e.g. Monday morning) or manually by the manager. The system is ready to begin the roster cycle.
2. Send Availability Request
An automated message is posted to the team channel or sent directly to staff, asking them to submit availability via a linked form. The message includes the deadline and a link to the form.
3. Collect Responses
Staff submit their availability (available, unavailable, or on request) through a Google Form. Responses are automatically logged and timestamped.
4. Compile and Analyze Availability
The automation reads form responses and populates a Google Sheet with availability data. It flags non-responders and calculates coverage for each shift.
5. Detect Conflicts and Gaps
The automation scans the roster for understaffed shifts, double-bookings, and staff with excessive hours. A summary of conflicts is generated for manager review.
6. Manager Reviews and Approves Roster
The manager reviews the automated roster, resolves any remaining conflicts, and approves the final schedule. This is a human decision point that cannot be fully automated.
7. Send Roster and Shift Confirmations
