Quote Generation & Follow-up

[YourCompany.com] · Sales Department · Prepared by FullSpec · [Today's Date]

This document makes the financial case for automating your quote generation and follow-up process. It translates the time your team currently loses into a dollar figure, shows what changes after the three FullSpec agents take over the repetitive steps, and sets out the full cost of the build alongside the return you can expect in year one and beyond. Use this document to confirm the decision to proceed, or to share the case internally with a stakeholder who needs to see the numbers.

01What the current process is costing you

7 hrs/week
Lost to quote admin
Per sales rep, every week, on repeatable manual steps
$9,100/year
Annual staff cost of this process
Based on $26/hr fully loaded rate for a Sales Representative
4 to 8 hours
Current quote turnaround
Benchmark for manual quoting; under 30 min is achievable with automation

The three highest-friction steps in your current process are each costing measurable time and creating a predictable failure mode that lets warm leads go cold.

  • Pull Pricing From Spreadsheet (Step 2, 20 minutes per quote): The rep opens the master Google Sheets pricing file, locates the right product lines, and copies figures manually. Custom configurations and discounts are applied by hand. Because the source data is not structured for machine reading, errors and version mismatches occur regularly, and any mistake means the whole document must be redone. At 40 quotes per month this step alone consumes roughly 13 hours of rep time every month.
  • Manager Reviews and Approves Quote (Step 5, 30 minutes plus wait time): The approval request arrives as an email with no urgency signal, no structured response format, and no visibility for the rep on whether it has been read. The manager reply can take hours or arrive the following day. During that window the rep has no live quote to send and the prospect is waiting. This is the single biggest cause of the 4 to 8 hour turnaround gap.
  • Send Manual Follow-up Emails (Step 10, 15 minutes per quote, frequently skipped): If the prospect does not reply, the rep must remember to write and send a follow-up from scratch. Timing varies by rep and the step is routinely skipped during busy periods. There is no record in HubSpot of whether a follow-up was sent, and no alert when a quote has been opened but not signed. Warm leads go cold and there is no system signal to recover them.

02What changes after automation

After the FullSpec build goes live, the three agents handle every repeatable step from pricing lookup through to invoice creation. The Quote Builder Agent reads the HubSpot deal and pulls the correct pricing from Google Sheets without any rep involvement, then assembles the PandaDoc draft automatically. The Approval and Send Agent routes the quote to the sales manager as a single structured Slack message and, once approved, sends the document to the prospect with a personalised cover message drawn from the HubSpot record. The Follow-up and Close Agent monitors PandaDoc for opens and signatures and runs the day 3 and day 7 email sequence automatically, then creates the Xero invoice and closes the HubSpot stage on acceptance. The one step that stays human is the manager's approval decision itself, which now arrives as a clear Slack notification requiring a single click rather than an unstructured email chain.

7 hours
0.5 hours
Average quote turnaround time

Under 30 minutes
Annual staff cost of this process
$9,100
$650
Follow-up emails sent on schedule
~50% (depends on rep memory)
100% (timed sequence, automatic)
CRM updated after quote sent
Manual, frequently missed
Automatic on every send
Pricing errors / data completeness
Common (manual copy from spreadsheet)
Eliminated (direct lookup, 100% field completion)
The follow-up send rate improvement from roughly 50% to 100% is significant beyond the time saving. Every quote that was previously sent without a follow-up was a revenue risk. At 40 quotes per month, that means roughly 20 prospects per month were previously receiving no structured nudge before the quote expired.

Already using some of these tools? If you are already paying for HubSpot, PandaDoc, Slack, and Xero, your incremental spend to run this automation is limited to the orchestration layer at approximately $300/year. That reduces the total new spend in year 1 to roughly $3,500 (build cost plus orchestration), and the ongoing annual cost from year 2 to approximately $300. The tool cost figures above assume you are not yet subscribed to any of these platforms.

Month 4 after go-live
Based on $760 cost saving per 30-day period at current volume
The three-year cumulative saving from this automation is $27,300 in staff time alone. After subtracting all tool costs across three years and the one-off build cost, the three-year net return is approximately $19,500. That figure does not include the revenue upside from faster turnaround times and a 100% follow-up send rate, which are real but not quantified here.

All figures in this document are based on the volume, rate, and time data confirmed during the mapping session. If any of these inputs change, the numbers scale in a straightforward way. If your team processes more than 40 quotes per month, the hours saved and the annual staff cost figure both increase proportionally, which shortens the payback period. If your fully loaded hourly rate is higher than $26, every hour saved is worth more, which improves the net saving in year 1 and beyond. If you are already paying for HubSpot, PandaDoc, Slack, and Xero, the incremental tool cost is limited to the orchestration layer at roughly $300/year, which means the net saving in year 1 rises to approximately $8,500 and the payback period shortens to under two months. FullSpec will update these figures with your confirmed numbers before build starts. Contact the team at support@gofullspec.com with any questions about the assumptions used here.
