01What you're launching

Right now, one Operations Manager spends up to seven hours every week manually scanning Asana for overdue milestones, writing individual chase emails to task owners, logging replies into a Google Sheet, deciding which items need escalating, and assembling a weekly status report from scratch. Milestones slip quietly because reminders do not always get sent, and by the time leadership asks for a progress update the data is already stale. This automation replaces that manual cycle with three agents that run daily and weekly without any input required: the Milestone Monitor Agent scans and flags overdue items each morning, the Owner Reminder Agent sends personalised Gmail reminders and Slack escalation alerts automatically, and the Report Builder Agent generates a formatted Notion status report and posts a Slack digest to leadership every Monday. The single remaining human task is reviewing items the Milestone Monitor Agent has flagged as genuinely blocked or high-risk, where your judgement is still needed.

02How the build works

The build is split into four stages: Connect, Build, Test, and Launch. FullSpec runs each stage in sequence, with the Build stage progressing through all three agents before testing begins. You do not need to be involved in the day-to-day technical work. At each stage there are a small number of actions on your side, mainly confirming access and reviewing outputs, and FullSpec handles everything else. The total delivery window runs to approximately four weeks from the close of Connect.

Complexity level: Moderate. This build involves three coordinated agents, conditional escalation logic, and API connections across five tools. Estimated delivery is 15 to 20 business days end to end. The delivery clock starts at the close of Connect, not payment.

03What FullSpec needs from you

Getting started requires only access to your existing tools. No technical knowledge is needed on your side. FullSpec handles all connection setup, credential storage, and configuration. The table below lists every tool credential needed and when it must be provided. All access should be in place before Connect closes so the build can start without delay.

One configuration decision must be confirmed before Connect closes: the escalation threshold. This is the number of days a milestone can be overdue, and the number of hours without an owner response after the first reminder, before a senior stakeholder alert fires in Slack. This threshold drives the core logic of the Milestone Monitor Agent and cannot be changed mid-build without resetting that agent's rules. Agree this with your team (for example: escalate after 3 days overdue or 24 hours without a reply) and confirm it in writing to FullSpec at the close of the Connect stage.

04Your role once live

Once the automation is live, the day-to-day milestone tracking cycle runs without any manual input. The table below clarifies what you remain responsible for and what FullSpec continues to manage, alongside the tasks that are fully removed from your plate.

05What success looks like
