The three highest-friction steps in your current process are where time is lost, errors occur, and client confidence takes the hit. Each one compounds the delays in every step that follows it.

  • Send Intake Form to Collect Client Details (Step 3, 10 min per client): Staff must manually send the Typeform link, then track who has responded in a separate log or spreadsheet. There is no automatic record of whether the form has been opened, and no trigger fires when a client ignores it. Failure mode: intake data is never collected, blocking CRM updates, invoicing, and account provisioning entirely.

  • Update CRM with Intake Data (Step 5, 15 min per client): Once the intake form comes back, the data is manually copied field by field into HubSpot. There is no validation step and no required field check. Failure mode: transcription errors enter the CRM record and propagate into the Xero invoice, the welcome email, and the Slack notification, all of which then carry the wrong client details.
