Launch Plan

Social Media Scheduling Automation

[YourCompany.com] · Marketing Department · Prepared by FullSpec · [Today's Date]

This Launch Plan is your end-to-end guide to getting the Social Media Scheduling automation live. It covers exactly what is being built, how the four-stage build process works, what FullSpec needs from you to get started, and what your role looks like once the automation is running. FullSpec handles every part of the technical build, testing, and deployment. Your job is to provide tool access, confirm one configuration decision before work begins, and review the results at the end of the Test stage.

01What you're launching

You are automating the weekly social media scheduling cycle that currently requires your coordinator to manually copy captions from Google Drive, download and re-upload images from Canva, chase approvals over Slack with no audit trail, and upload each post individually into Buffer. The new pipeline connects Airtable, Google Drive, Slack, and Buffer into a single automated workflow. When a content record is marked ready in Airtable, three agents handle everything from that point: packaging the content, routing it for approval, and publishing it to the right channels at the right time. Two steps remain with your coordinator: writing and preparing the original content, and applying any revisions requested during approval.

Process
Social Media Scheduling
Trigger
An Airtable content record status changes to 'Ready for Review'
Final output
Post scheduled in Buffer, Airtable record updated to 'Scheduled', and a weekly summary sent to Slack
Agents being built
3 agents: Content Intake Agent, Approval Routing Agent, Publishing and Reporting Agent
Tools involved
Airtable, Google Drive, Canva, Slack, Buffer
Volume
40 to 80 posts/month across 3 to 5 channels

02How the build works

The build follows four fixed stages: Connect, Build, Test, and Launch. FullSpec leads every stage. Your involvement is light and clearly defined at each point. The total estimated delivery window is three to four weeks, based on a Standard-tier build covering all three agents and the full approval and publishing pipeline.

Complexity level: Moderate. Estimated delivery: 3 to 4 weeks. The delivery clock starts at the close of Connect, not payment. Work begins once tool access is confirmed and the Connect stage is signed off.
1
Connect
Business days 1 to 5
Who
Actions
FullSpec
Reviews your Airtable schema and Buffer account setup, confirms Slack app permissions and interactive components are enabled, maps Google Drive folder structure, and documents the agreed approval logic and channel targeting rules.
You
Share access credentials for Airtable, Buffer, Slack, and Google Drive (see Section 03). Confirm who the designated approval reviewer is and how long the approval window should be before a post is flagged as pending.
2
Build
Business days 6 to 15
Who
Actions
FullSpec
Builds all three agents in sequence: Content Intake Agent (Airtable trigger and Google Drive asset retrieval), Approval Routing Agent (Slack interactive approval messages and Airtable feedback logging), and Publishing and Reporting Agent (Buffer API scheduling, Airtable status updates, and Slack weekly summary). Each agent is unit-tested before the next is started.
You
No action required during this stage. You may be asked a quick clarifying question by email, for example to confirm a specific Airtable field name or a Slack channel. Responses within one business day keep the build on schedule.
3
Test
Business days 16 to 18
Who
Actions
FullSpec
Runs a full end-to-end test using a batch of sample content records, covering the approval path, the rejection and revision loop, and Buffer scheduling to multiple channels. Validates publish times, channel targeting, Airtable status updates, and Slack summary messages. Documents any issues and resolves them before handover.
You
Review the test results summary shared by FullSpec. Optionally, run one real content batch through the live pipeline under FullSpec supervision before the formal go-live. Confirm sign-off so Launch can proceed.
4
Launch
Business days 19 to 20
Who
Actions
FullSpec
Switches the automation to live mode, hands over the Process Runbook and SOP, and confirms monitoring is active. Delivers all six documents in the FullSpec suite. Available at support@gofullspec.com for questions in the first 30 days.
You
Brief your social media coordinator on the new workflow using the provided SOP. Begin using the live pipeline for your next scheduled content batch. No technical steps required from your side at this stage.

03What FullSpec needs from you

Getting started requires only access to your existing tools. No technical knowledge is needed on your side. FullSpec handles all configuration, connection, and testing. Everything below can be shared before or during the Connect stage. Having these ready at the start of Connect means the build can begin without delay.

Tool
What we need
When
Airtable
Admin or creator access to the content calendar base, plus the base ID and the name of the status field used to trigger the workflow ('Ready for Review')
Before Connect closes
Buffer
API access token with read and write permissions for all connected channels. Buffer must be on a plan that supports API access (Essentials or above)
Before Connect closes
Slack
Workspace admin access to install a Slack app with interactive components enabled, plus the name of the approvals channel and the weekly summary channel
Before Connect closes
Google Drive
View access to the shared Drive folder where caption docs and image assets are stored, and confirmation of the naming convention used for asset files
Before Connect closes
One decision to confirm before Connect closes: who is the designated approval reviewer in Slack, and how long should the automation wait for a response before flagging the post as pending and notifying your coordinator? This approval window (for example, 24 hours or 48 hours) must be agreed during Connect so the Approval Routing Agent is built with the right logic from the start.

04Your role once live

Once the automation is live, the day-to-day division of responsibility is straightforward. Your coordinator continues to own content creation and handles any revisions after a rejection. Everything else runs automatically. FullSpec monitors the automation and is available if anything needs adjusting.

Role
Ongoing responsibilities
What you no longer touch
You (business owner / coordinator)
Write captions and prepare correctly sized assets in Canva before uploading to Airtable. Set the Airtable record status to 'Ready for Review' to start the pipeline. Apply any revision feedback logged to the Airtable record if a post is rejected. Review the weekly Slack summary to confirm the schedule looks correct.
Chasing approvals over Slack. Copy-pasting captions into Buffer. Uploading and resizing images per platform. Manually logging into Buffer to schedule each post. Sending the team a schedule confirmation message.
FullSpec
Monitor the automation for errors or failed runs. Maintain API connections to Buffer, Airtable, and Slack. Apply updates if a tool's API changes in a way that breaks the workflow. Available at support@gofullspec.com for any questions or adjustment requests.

05What success looks like

The automation delivers measurable improvements quickly. The table below sets out what you should expect at each stage after go-live, so you have clear benchmarks to measure against.

Timeframe
What to expect
Sign of success
Week 1
The first real content batch runs through the live pipeline. Approval requests appear in Slack with formatted approve and reject buttons. Approved posts land in Buffer automatically and Airtable records update to 'Scheduled'.
No manual Buffer uploads needed. At least one approval decision captured in Slack and logged to Airtable with a full audit trail.
Month 1
The weekly scheduling time drops from roughly 6 hours to around 1 hour. Your coordinator's time is spent only on content creation and revision, not on copy-paste work or tool juggling. On-time publish rate begins tracking above 90 percent.
Coordinator reports the scheduling workflow takes under 1 hour per week. No missed publish times due to Buffer upload delays. Airtable shows a complete status history for every post.
Month 3
The automation is handling 40 to 80 posts per month reliably. The approval audit trail in Airtable covers 100 percent of published posts. Time savings are running at approximately 5 hours per week, equating to roughly $2,000 recovered per quarter at the benchmark rate.
On-time publishing rate at or above 98 percent. Zero posts flagged as published without approval. Coordinator and reviewer describe the process as requiring minimal effort outside of content creation itself.
Next step: share tool access for Airtable, Buffer, Slack, and Google Drive with the FullSpec team at support@gofullspec.com, and confirm your chosen approval window. Once those are in hand, FullSpec will schedule the Connect session and the delivery clock starts from there.
