Launch Plan
Lead Magnet & Landing Page Follow-up
[YourCompany.com] · Marketing Department · Prepared by FullSpec · [Today's Date]
This Launch Plan gives you a clear picture of what is being built, how the build unfolds across four stages, what FullSpec needs from you to get started, and what your role looks like once the automation is live. FullSpec handles every part of the technical build, testing, and go-live. Your job is to provide tool access before the build begins and to review any flagged contacts once the system is running.
01What you're launching
Right now, every new landing page submission triggers a chain of manual steps: your marketing coordinator checks the form tool, copies contact details into HubSpot, applies tags, locates the right asset in Google Drive, sends a delivery email by hand, logs the submission in a spreadsheet, and attempts to follow up three days later. That sequence takes up to 71 minutes per batch, the Day-3 follow-up is frequently skipped under pressure, and roughly 35% of contacts end up miscategorised in the CRM. This automation replaces nine of those ten steps with an instant, reliable chain that fires the moment a form is submitted, delivering the asset within 60 seconds, enrolling the contact in the correct nurture sequence, and alerting your sales team only when a lead reaches warm status.

02How the build works
The build follows four sequential stages: Connect, Build, Test, and Launch. FullSpec leads every stage. Your involvement is focused and time-bounded: you share tool access during Connect, confirm one configuration decision before build begins, review test results during the Test stage, and give the go-ahead for go-live. The total build effort is estimated at 22 hours of FullSpec time spread across the delivery window below.
Complexity level: Moderate. Estimated delivery window: 15 to 20 business days. The delivery clock starts at the close of Connect, not payment. If tool access or Mailchimp sequence content is delayed, the timeline extends by the same number of days.
1Connect
Business days 1 to 3
FullSpec
Audits all active lead magnets and confirms HubSpot property names, list structure, and Typeform webhook access. Identifies any naming inconsistencies that need resolving before build begins. Prepares the build brief and shares it for your review.
You
Share API credentials and admin access for Typeform, HubSpot, Mailchimp, Google Drive, Google Sheets, and Slack. Confirm the list of active lead magnets and the HubSpot property names you currently use. Review and approve the build brief before Connect closes.
2Build
Business days 4 to 12
FullSpec
Configures the Typeform trigger and builds the Lead Capture and Enrichment Agent: deduplication logic, HubSpot upsert, field mapping, tagging rules, and Google Sheets logging. Then builds the Asset Delivery and Nurture Agent: Mailchimp transactional send, sequence enrolment logic, warm-lead scoring threshold, and Slack notification trigger.
You
Ensure Mailchimp nurture sequences (Day-3 and Day-7 emails) are written and ready in your Mailchimp account before the end of Build week 1. No technical input is needed during this stage beyond answering any clarification questions from FullSpec.
3Test
Business days 13 to 17
FullSpec
Runs end-to-end tests using live and duplicate test submissions. Verifies asset delivery timing (target: under 60 seconds), confirms tagging accuracy across all lead magnet variants, tests the duplicate submission deduplication path, and validates the Slack warm-lead alert threshold.
You
Review a sample of test contacts in HubSpot and confirm the tags, lists, and lead magnet labels look correct. Check one test asset delivery email in your inbox. Confirm the Slack alert appears in the right channel. Give written sign-off to proceed to Launch.
4Launch
Business days 18 to 20
FullSpec
Switches the workflow live, monitors the first 24 hours of live submissions for any unexpected errors, and hands over the runbook and tracking sheet. Provides a brief walkthrough of the exception review step for your marketing coordinator.
You
Brief your marketing coordinator on the exception review step (reviewing any bounced or flagged contacts). Confirm the manual delivery process has been switched off. Monitor the Google Sheets tracking log for the first week to build confidence in the system.

03What FullSpec needs from you
FullSpec needs only access to your existing tools. No technical knowledge is required from you or your team. All credentials are used solely to configure the automation and are not stored beyond the build engagement. The table below lists exactly what is needed and when.
Typeform
Admin access or API key to connect the form webhook as the automation trigger
Before Connect closes
HubSpot
Private app token with read and write access to Contacts, Lists, and Properties
Before Connect closes
Mailchimp
API key with access to Audiences, Transactional (Mandrill) sends, and Automations
Before Connect closes
Google Drive
Shared link or service account access to the folder containing all lead magnet assets
Before Connect closes
Google Sheets
Editor access to the existing submission tracking spreadsheet (or a new blank sheet)
Before Connect closes
Slack
Incoming Webhook URL for the sales notification channel (created in your Slack workspace settings)
Before Connect closes
One decision you must confirm before Connect closes: the warm-lead threshold. The default configuration triggers the Slack sales alert when a contact has opened two emails and clicked at least one link. If your sales team has a different definition of a warm lead (for example, a specific page visit or a pricing email click), that rule must be agreed before the Asset Delivery and Nurture Agent is built. Changing it after build adds time to the delivery schedule.
04Your role once live
Role
Ongoing responsibilities
What you no longer touch
You (business owner / marketing team)
Review the Google Sheets tracking log weekly to spot any volume anomalies. Manage the exception queue: contacts flagged as bounced or data-quality issues need a human judgement call before the record is corrected. Update Mailchimp sequence copy when your messaging changes. Add new lead magnets to the asset folder and notify FullSpec if a new magnet needs its own tagging rule or nurture sequence.
Manually checking Typeform for new submissions. Copying contact details into HubSpot. Applying tags, lists, or lead source labels by hand. Locating and emailing asset links. Writing and sending Day-3 follow-up emails. Logging submissions in the tracking sheet. Manually notifying sales of warm leads.
FullSpec
Monitors the automation for errors and unexpected failure states. Applies any configuration changes you request (new magnet routing rules, updated warm-lead threshold, additional sequence enrolment logic). Provides support via support@gofullspec.com for any process questions or unexpected behaviour after go-live.
Not applicable. FullSpec does not manage your email copy, CRM strategy, or Mailchimp sequence content. Those remain with your marketing team.

05What success looks like
Timeframe
What to expect
Sign of success
Week 1
The first live submissions flow through the automation. Asset delivery emails land within 60 seconds of form submission. HubSpot contacts are created or updated with correct tags and list membership. The Google Sheets log shows a new row for every submission. Your marketing coordinator handles only the exception queue, which is typically zero to two contacts in the first week.
No manual delivery emails sent by your team. At least one Slack warm-lead alert received if any existing engaged contacts submit during the week. Zero duplicate HubSpot records created from new submissions.
Month 1
Approximately 120 submissions processed without manual intervention. Nurture sequence completion rate climbs from roughly 40% to close to 100% as the Day-3 and Day-7 emails run automatically. CRM tagging accuracy improves from approximately 65% to approximately 98%. Your marketing coordinator reclaims roughly 20 hours of their month.
The tracking sheet shows consistent delivery timestamps under 60 seconds. Sales team reports receiving Slack alerts for genuinely engaged leads. No complaints from subscribers about missing assets or delayed follow-up.
Month 3
The automation has processed over 350 submissions. Staff time recovered equals approximately 63 hours across the quarter. The annual saving trajectory is on track toward $7,800 per year. Your marketing team can focus on content, strategy, and campaign performance rather than submission management. Any new lead magnets added during this period are routed correctly if the tagging rules were updated at the time of addition.
Four-month payback period is on track based on $2,600 build cost against $650 per month in recovered staff cost. Warm-lead Slack alerts are resulting in timely sales follow-up. The Google Sheets log is the single source of truth for submission volume, with no manual entries required.
Next step: share tool credentials and the list of your active lead magnets with the FullSpec team at support@gofullspec.com to open the Connect stage and start the delivery clock. If you have questions about any credential listed above or need help locating an API key, the FullSpec team will walk you through it step by step.
