This Launch Plan sets out exactly what is being built, how the build is structured, and what your team needs to do at each stage. It is written for the business owner and marketing team, not for a technical audience. FullSpec handles all build, test, and configuration work end to end. Your role is to provide tool access, confirm one key configuration decision before work begins, and approve pitch drafts once the system is live.
01What you're launching
You are launching an end-to-end automation for your influencer and partnership outreach process. Right now, your marketing team spends roughly eight hours every week manually researching prospects, hunting for contact emails, writing individual pitches, chasing non-responders, and keeping the CRM up to date. This automation replaces the most time-consuming parts of that process with three purpose-built agents, while keeping a human approval step in place before any email is sent. The result is a pipeline that runs from campaign brief to follow-up sequence with minimal manual effort, and one that surfaces hot leads in Slack the moment a prospect replies.

02How the build works
The build is split into four sequential stages: Connect, Build, Test, and Launch. Each stage has a clear handoff point and a defined set of actions for both FullSpec and your team. The Build stage itself is broken into three sub-phases corresponding to the three agents, so work progresses in logical order and each agent is tested before the next one is wired in. Your team's involvement during the build is light: the main ask is completing the Connect stage quickly so the delivery clock can start.
Complexity level: Moderate. Estimated delivery window: 4 weeks (20 business days) from the close of Connect. The delivery clock starts at the close of Connect, not payment. Delays in providing tool credentials or the Notion brief template will extend the timeline accordingly.
1Connect
Business days 1 to 3
FullSpec
Sends a credential request checklist covering HubSpot, Gmail, Hunter.io, Google Sheets, Slack, and Notion. Reviews your existing HubSpot pipeline structure and Google Sheets layout. Confirms the Notion brief template fields required before build can begin. Books a 30-minute kickoff call if any access issues arise.
You
Provide API keys and OAuth access for all six tools listed in Section 03. Share your existing prospect spreadsheet (if one exists) so FullSpec can align the output schema. Confirm the HubSpot pipeline stage names your team currently uses. Complete the Notion brief template with at least one example campaign brief.
2Build
Business days 4 to 16
FullSpec
Builds and connects all three agents in sequence: first the Prospect Research Agent (Notion trigger, Google Sheets output, Hunter.io enrichment), then the Pitch Drafting Agent (Google Sheets input, Gmail draft output, HubSpot contact creation), and finally the Follow-Up and Pipeline Agent (HubSpot sequence enrolment, reply detection, Slack alerts, deal stage updates). Applies failure handling for Hunter.io lookups that return no result. Configures brand voice guidelines and pitch structure into the drafting agent based on examples you supply.
You
Supply two to three example pitch emails that represent your preferred tone and structure. These are used to configure the drafting agent. Respond to any clarification questions from FullSpec within one business day to avoid build delays. No technical work is required from your side during this stage.
3Test
Business days 17 to 19
FullSpec
Runs three end-to-end test campaigns using dummy contacts. Verifies CRM logging accuracy, follow-up timing at days 4 and 9, reply detection and sequence cancellation, Slack alert formatting, and Gmail draft creation. Fixes any issues found before handing over. Delivers the SOP runbook to your marketing team ahead of go-live.
You
Review two or three sample Gmail drafts generated during testing and confirm the tone and personalisation quality meet your standard. Flag any edits needed to the pitch structure before go-live. This review should take no more than 30 minutes.
FullSpec
Switches the automation from test mode to live. Confirms all triggers are active and monitors the first real campaign run. Delivers the full SOP runbook, credential log, and a brief walkthrough video for the marketing team. Remains on standby for 5 business days post-launch to catch any edge cases.
You
Submit your first real campaign brief in Notion using the agreed template. Your Marketing Manager reviews and approves (or edits) the Gmail drafts produced by the automation before anything is sent. This approval step is the only action your team takes in the outreach flow going forward.

03What FullSpec needs from you
FullSpec needs only access to your existing tools, no technical knowledge is required from your side. The table below lists every credential needed, what specifically is required, and when it must be in place. Everything should be ready before Connect closes so the build clock can start without interruption.
HubSpot
API key with Contacts and Deals read/write access. Confirmation of your Sales Hub tier (Starter or above required for Sequences). Names of your current deal pipeline stages.

OAuth 2.0 authorisation for the sending account used for outreach. The account must have Drafts and Send scope enabled.

API key from your Hunter.io account dashboard. Confirmation of your current monthly lookup quota.

Share the existing prospect tracking spreadsheet (or confirm a new one should be created). OAuth access to the Google account that owns the sheet.

Notion
Integration token for your Notion workspace. Share the campaign brief database with the FullSpec integration. Confirm the required fields in the brief template (niche, audience size range, channel).

Key decision before Connect closes: You must confirm your HubSpot subscription tier. The Follow-Up and Pipeline Agent uses HubSpot Sequences to enrol contacts in the automated two-email follow-up schedule. This feature requires Sales Hub Starter or above. If your account is on the free HubSpot plan, FullSpec will configure an alternative follow-up method using Gmail scheduled sends before build begins. This decision must be made before Connect closes so the correct approach is built from day one.

05What success looks like

Week 1
The first real campaign brief triggers the Prospect Research Agent. A shortlist of prospects appears in Google Sheets with verified email addresses. Gmail drafts are queued for the Marketing Manager to review. The first approved pitches are sent and contacts are enrolled in HubSpot.
Drafts are generated without manual research. The Marketing Manager spends no more than one hour reviewing and approving the first batch. At least one follow-up sequence is active in HubSpot by end of week.
Month 1
The full outreach cycle runs at least twice across two campaign batches. Follow-up emails go out automatically on days 4 and 9 for all non-responders. Slack alerts fire when prospects reply. HubSpot deal stages update without manual input from the coordinator.
Weekly outreach admin time is down from 8 hours to approximately 1 hour. No follow-ups are missed across the month. CRM is up to date in real time without the coordinator touching it after initial send.
Month 3
The process is running as standard operating rhythm. The team has handled at least one campaign burst without additional manual effort. Any edge cases (Hunter.io lookup failures, draft quality issues) have been resolved and the SOP is updated to reflect them.
350 hours of manual work saved on an annualised basis. Follow-up send rate at 100% of contacts reached. Time from campaign brief submission to first pitch sent is the same day. The marketing team treats outreach admin as a solved problem.
