This Launch Plan gives you a clear picture of what is being built, how the build is structured, and what you need to do at each stage to keep things moving. FullSpec handles every aspect of the technical build, testing, and deployment. Your role is to provide tool access and confirm one key configuration decision before the build begins. Everything else is handled end to end by the FullSpec team.

01What you're launching

Right now, every event your team runs triggers a chain of manual tasks: building a Zoom registration page, drafting announcement and reminder emails in HubSpot, writing and scheduling LinkedIn posts, notifying the team on Slack, importing registrant lists into the CRM, and logging performance data to a spreadsheet. These steps consume roughly eight hours per week of coordinator time and, because nothing is connected, reminders get missed and registrant data rarely makes it into HubSpot cleanly. The automation being built connects a single confirmed event row in Google Sheets to every downstream promotion task, handled by three purpose-built agents. The two steps your team keeps are creating the event graphic in Canva and approving social post copy before it goes live.

02How the build works

The build is structured across four stages: Connect, Build, Test, and Launch. FullSpec runs each stage in sequence, keeping you informed at every transition point. You do not need any technical knowledge to participate. At most stages your only action is providing access or a quick confirmation. The total delivery window is five weeks from the close of the Connect stage, broken across three sequential agent builds and a final end-to-end quality check.

Complexity level: Moderate. Estimated delivery: 5 weeks (25 business days). The delivery clock starts at the close of Connect, not payment. Delays in providing tool credentials or confirming HubSpot list structure will extend the timeline.

03What FullSpec needs from you

FullSpec only needs access to your existing tools. No technical knowledge is required from you or your team. All credentials are requested through a secure access form and are used solely to connect the automation platform to each tool on your behalf. The table below lists exactly what is needed and when.

One decision to confirm before Connect closes: your HubSpot contact list structure. The automation enrolls registrants and triggers follow-up emails based on how your lists are segmented. If the list structure does not match the automation's assumptions, emails may reach the wrong audience. FullSpec will walk you through this during Connect, but your marketing coordinator must confirm which lists are in use and whether any active sequences will be replaced. This is the single most important configuration decision in the entire build.
