Launch Plan

Content Calendar Management

[YourCompany.com] · Marketing Department · Prepared by FullSpec · [Today's Date]

This Launch Plan gives you a clear picture of what is being built, how the build unfolds, what FullSpec needs from you to get started, and what your day-to-day role looks like once the automation is live. It is written for the business owner and process owner, not for a technical audience. FullSpec handles every aspect of the build, testing, and go-live. Your job is to grant access, confirm one configuration decision before build begins, and continue managing your content as normal while the system is set up around you.

01What you're launching

You are automating your end-to-end content calendar management process. Right now, a marketing manager spends roughly six hours every week updating a shared spreadsheet, writing and sending briefs by hand in Slack, chasing overdue drafts, copying approved content into Buffer, and manually exporting performance data at period end. Every step depends on someone remembering to act. The three agents being built will replace seven of the nine manual steps, covering brief dispatch, overdue reminders, review routing, Buffer scheduling, HubSpot campaign logging, and weekly performance sync. The two steps that stay with a person are writing the draft and making the editorial approval decision, both of which require genuine human judgment. The result is a content pipeline that runs on schedule even when your manager is not watching it.

02How the build works

FullSpec delivers this automation in four stages: Connect, Build, Test, and Launch. Each stage has a defined set of actions, a clear owner for every task, and a fixed sequence. Nothing in the Build stage begins until Connect is fully closed, meaning your tool access has been confirmed and the Notion database structure has been reviewed and agreed. The build runs over four weeks of business days, with all three agents developed, tested, and handed over to your team by the end of week four.

Complexity level: Moderate. This build involves multi-tool API connections, conditional logic, and Notion database field mapping across five live tools. Estimated delivery window: 15 to 20 business days. The delivery clock starts at the close of Connect, not payment.
1
Connect
Business days 1 to 3
Who
Actions
FullSpec
Reviews your Notion database structure, documents field naming conventions, confirms trigger conditions and notification rules, and prepares the build specification for all three agents
You
Grant API access for Notion, Slack, Buffer, and HubSpot; attend a 30-minute Connect call with the FullSpec team; confirm the Notion field names to be used as the source of truth
2
Build
Business days 4 to 12
Who
Actions
FullSpec
Builds the Calendar Orchestrator Agent (Notion and Slack, brief generation and overdue reminders), the Review and Publish Agent (draft detection, review routing, Buffer scheduling, HubSpot logging), and the Performance Sync Agent (weekly Buffer metrics pull into Notion). Each agent is built and unit-tested before the next begins
You
Continue running your content process as normal. Respond promptly if FullSpec flags a field mapping question or requests confirmation of a Slack channel name or Buffer profile ID
3
Test
Business days 13 to 17
Who
Actions
FullSpec
Runs end-to-end tests across the full content lifecycle using sample records: brief generation, overdue reminders, draft detection, approval routing, Buffer scheduling, Notion status sync, HubSpot logging, and the weekly performance pull. Edge cases such as late submissions and rejected drafts are tested and documented
You
Review two to three test runs with a member of your marketing team. Confirm that Slack notifications read correctly, that Buffer posts appear in the right channel at the right time, and that Notion records update as expected. Raise any wording or routing changes before sign-off
4
Launch
Business days 18 to 20
Who
Actions
FullSpec
Switches the automation to live on your production Notion database, delivers the full SOP and runbook to your team, and monitors the first full week of live runs to confirm stable operation
You
Brief your marketing team on the new Notion workflow (FullSpec provides a template for this). Add your first real content rows and allow the agents to handle brief dispatch and scheduling. Reach out to support@gofullspec.com if anything looks unexpected in the first week

03What FullSpec needs from you

FullSpec only needs access to your existing tools. No technical knowledge is required on your side. You do not need to build anything, configure any integrations, or write any logic. The table below lists exactly what access is needed for each tool and when it must be in place. All access should be ready before Connect closes so the build can start on schedule.

Tool
What we need
When
Notion
An integration token with read and write access to your content calendar database. You create this in Notion Settings under Integrations and share the database with the integration
Before Connect closes
Slack
An incoming webhook URL or a bot token with permissions to post in the relevant writer and reviewer channels. Your Slack admin can generate this in under five minutes
Before Connect closes
Buffer
An API access token linked to your Buffer account. Found under Buffer Settings, API access. Must cover the channels where posts will be scheduled
Before Connect closes
HubSpot
A private app token with access to the Campaigns and Engagements objects. Created in HubSpot Settings under Integrations, Private Apps
Before Connect closes
Google Docs
No API connection required. Writers log their Google Docs URL directly into the Notion record. No additional access needed from you
No action needed
One configuration decision you must confirm before Connect closes: your Notion database must have consistent, agreed field names for at minimum these five properties: Assignee, Deadline, Draft Link, Status, and Channel. If these fields are named differently or do not yet exist in your database, FullSpec will align them with you during Connect. This is the single most common cause of build delays for this process, and confirming it early keeps the four-week timeline on track.

04Your role once live

Once the automation is live, the day-to-day operation of your content pipeline changes significantly. The table below summarises what each party is responsible for on an ongoing basis, and what you no longer need to do manually.

Role
Ongoing responsibilities
What you no longer touch
You (business owner / marketing team)
Add new content rows to Notion with a topic, format, assignee, channel, and deadline. Write the draft and log the Google Docs link in the Notion record. Mark records as Approved or Needs Revision after editorial review. Check the weekly Slack digest for any flagged overdue items
Writing and sending content briefs by hand. Chasing overdue drafts in Slack. Copying approved copy into Buffer. Updating calendar status columns manually. Exporting performance data from Buffer or other channels at period end. Logging publish activity in HubSpot
FullSpec
Monitors the automation for errors during the first live week. Provides ongoing support at support@gofullspec.com for any routing or field issues. Delivers updates if Buffer or HubSpot API changes affect the integration
Not applicable. FullSpec does not touch your editorial content, your Notion records, or your HubSpot campaign data

05What success looks like

The table below sets out realistic expectations for the first three months of live operation. These figures are based on a team running 20 to 40 content pieces per month. Results may vary depending on how consistently your team logs content rows and draft links in Notion.

Timeframe
What to expect
Sign of success
Week 1
The Calendar Orchestrator Agent begins sending briefs automatically as new Notion rows are added. Writers receive structured Slack notifications with all brief details. The first overdue reminder fires automatically without any manager intervention. Some manual habits may still run in parallel while the team adjusts
At least one brief is dispatched and one overdue reminder fires without a manager manually triggering either
Month 1
The full pipeline is running: briefs dispatched, drafts detected, review notifications sent, approved posts scheduled in Buffer, and Notion records updated automatically. HubSpot campaign entries are being created without manual logging. The first weekly performance sync writes metrics back into Notion. Coordination time drops noticeably
Coordination time falls below two hours per week. No publishing slot is missed due to an unnoticed overdue draft. At least one full piece moves from brief to scheduled post without a single manual step by the manager
Month 3
The team is fully operating on the new Notion-led workflow. Brief dispatch, reminders, review routing, scheduling, and performance sync all run without prompting. The marketing manager is spending time on strategy and creative direction rather than coordination. Weekly performance data is visible in Notion every Monday morning
Coordination time is at or below 30 minutes per week. Annual staff cost of this process is tracking toward $936 per year against the previous $9,984. The team has not needed to manually export performance data since go-live
Next step: the FullSpec team will send you a Connect session invitation within one business day. Before that call, check that your Notion content database exists with at least the five core fields listed in Section 03, and confirm with your Slack admin that a bot token can be generated for the relevant channels. If you have any questions before Connect, reach out at support@gofullspec.com.
