Strategic Planning Workflow

[YourCompany.com] · Management Department · Prepared by FullSpec · [Today's Date]

This Launch Plan covers everything you need to know about how your Strategic Planning Workflow will be built, tested, and handed over to your team. It sets out what FullSpec delivers at each stage, what you provide, and what the process looks like once it is live. You do not need any technical knowledge to follow this document. FullSpec handles the entire build, configuration, and testing end to end.

01What you're launching

Every quarter, your planning cycle demands days of chasing, copying, and consolidating, followed by weekly manual check-ins that eat into senior time throughout the quarter. This automation replaces the heaviest administrative steps with two purpose-built agents. The Planning Data Agent handles template creation, data pulls from Google Sheets and HubSpot, Slack kickoff notifications, deadline reminders, and consolidation of all department submissions into a master Notion strategy page. The Progress Tracking Agent fires every Monday, sends structured update requests to department heads, reads their Notion responses, and posts a formatted progress summary to your leadership Slack channel. You retain full control of the one step that requires strategic judgment: reviewing and approving the consolidated plan before it is distributed.

02How the build works

The build follows four sequential stages: Connect, Build, Test, and Launch. FullSpec manages all technical work across every stage. Your involvement is limited to providing credentials at Connect, confirming the Notion structure is ready, and approving the workflow during the Test stage. The total delivery window is four weeks, and the build is rated as moderate complexity based on the two-agent configuration, four tool integrations, and the owner approval step embedded in the workflow.

Complexity level: Moderate. Estimated delivery window: 4 weeks (20 business days). The delivery clock starts at the close of Connect, not payment. The Connect stage is complete once all credentials have been received and the Notion schema has been confirmed by your team.
1
Connect
Business days 1 to 3
Who
Actions
FullSpec
Sends a credential request checklist covering Notion, Google Sheets, HubSpot, and Slack. Reviews your existing Notion database structure and identifies any schema changes needed before build begins. Documents the current planning cycle timeline and confirms contributor list.
You
Provide API credentials and access tokens for each connected tool (see Section 03 for the full list). Confirm whether Notion pages need to be restructured before the build starts. Confirm the number of departments and the names of department heads who will receive Slack notifications.
2
Build
Business days 4 to 16
Who
Actions
FullSpec
Builds the Planning Data Agent: Notion template duplication logic, HubSpot and Google Sheets data pull connections, Slack kickoff message and deadline reminder flows, and master page consolidation. Then builds the Progress Tracking Agent: Monday trigger, Notion status reader, Slack prompt delivery, and formatted progress report. All agents are unit-tested internally before handover to the Test stage.
You
No action required during this stage. FullSpec may raise a clarification question if a field mapping or Notion database structure point is ambiguous. Respond within one business day to avoid delaying the timeline.
3
Test
Business days 17 to 19
Who
Actions
FullSpec
Runs a full end-to-end test of the complete planning cycle from the date trigger through to plan distribution and the first Monday progress report. Validates the owner approval notification and the Notion approval flag. Confirms all Slack messages render correctly in your workspace. Shares a test summary with you for sign-off.
You
Review the test Notion page and confirm it looks correct. Approve the owner review step using the Notion approval flag so FullSpec can confirm the distribution trigger fires. Flag any formatting or content issues within two business days.
4
Launch
Business day 20
Who
Actions
FullSpec
Switches the workflow from test mode to live. Confirms the next scheduled planning cycle trigger date is correctly set. Delivers all six supporting documents and provides a handover walkthrough. Monitors the first live cycle run and the first Monday progress report.
You
Notify department heads that the new process is live and that they will receive Slack notifications at the start of the next cycle. No manual steps are required from this point for the automated portions of the workflow.

03What FullSpec needs from you

FullSpec needs only access to your existing tools. No technical knowledge is required from you or your team. The table below lists exactly what is needed for each tool and when it must be provided. Everything on this list is collected during the Connect stage before the build clock starts.

Tool
What we need
When
Notion
An integration token with read and write access to your strategy workspace. The relevant database IDs for department submission pages and the master strategy page.
Before Connect closes
Google Sheets
A service account or OAuth credentials with read access to the financial and KPI tracking spreadsheets used in your planning cycle. Confirmation of the specific sheet names and column headers for revenue, pipeline, and expense data.
Before Connect closes
HubSpot
A private app API key with read access to Deals and Contacts. Confirmation of which pipeline stage and deal properties map to the revenue and pipeline figures used in the plan.
Before Connect closes
Slack
A Slack app OAuth token with permission to send direct messages and post to channels. The names or IDs of the leadership channel and the direct message recipients for department heads.
Before Connect closes
Google Workspace
Confirmation of the Google account used for any document storage or email coordination that feeds the workflow. No write access is required; this is for reference alignment only.
Before Connect closes
One decision must be confirmed before Connect closes: your Notion database structure must be standardised so that the Planning Data Agent can reliably duplicate templates and merge department inputs into the master page. If your existing Notion workspace has inconsistent page structures or mixed formats across departments, FullSpec will flag the specific changes needed during Connect. This restructuring must be completed by you or your team before the Build stage begins, as it cannot be done by FullSpec without risking changes to content your team actively uses.

04Your role once live

Role
Ongoing responsibilities
What you no longer touch
You (business owner)

Resolve any flagged missing submissions by contacting the relevant department head directly. Update the contributor list in the workflow settings if team structure changes.
Sending kickoff emails or messages to department heads. Duplicating and sharing goal submission templates. Chasing late submissions manually. Pulling financial and pipeline data from Google Sheets or HubSpot. Copying department inputs into the master plan. Sending weekly progress check-in requests. Assembling the weekly progress report.
FullSpec
Monitoring the live workflow for errors or failed runs. Supporting any adjustments to trigger schedules, Slack message content, or contributor lists. Providing ongoing support via support@gofullspec.com for any issues that arise post-launch.
Not applicable. FullSpec manages all automation infrastructure and is responsible for resolving any technical failures in the workflow.

05What success looks like

Timeframe
What to expect
Sign of success
Week 1
The first automated planning cycle trigger fires. Department heads receive Slack notifications with links to their Notion submission pages. The Planning Data Agent pulls financial and pipeline data from Google Sheets and HubSpot without manual input. You receive a Slack notification to review the consolidated plan.
All Slack messages delivered, Notion pages populated, and owner review notification received without any manual intervention.
Month 1
The full planning cycle has completed end to end at least once. The Progress Tracking Agent has run its Monday check-in loop for four consecutive weeks. Weekly progress reports are appearing in the leadership Slack channel automatically. Time spent on planning administration drops from approximately 7 hours per week to under 1 hour.
Submission deadline compliance reaches 90% or above. Weekly reports are posted to Slack every Monday without any manual assembly. Owner review and approval is the only remaining manual step in the cycle.
Month 3
Two or more full planning cycles have completed. The workflow is running without intervention across cycle initiation, data collection, consolidation, approval, distribution, and weekly tracking. Time from cycle start to approved plan is consistently 5 to 7 days rather than 12 to 18 days.
Annualised time saving of 350 hours is on track. Planning administration cost has reduced from $18,200 per year to $3,120 per year. The payback period on the $4,800 build cost is reached within 3 months of go-live.

Next step: once you have reviewed this Launch Plan, the FullSpec team will send you the Connect checklist with a secure link to submit your tool credentials. That submission opens the Connect stage and starts the delivery clock. If you have any questions before then, contact the team at support@gofullspec.com.
