Exit Interview and Knowledge Capture
[YourCompany.com] · Management Department · Prepared by FullSpec · [Today's Date]
This document sets out the financial and operational case for automating your exit interview and knowledge capture process. It translates the time your HR team currently spends on manual exit admin into dollar figures, shows what changes after the automation goes live, and gives you a clear picture of cost, saving, and payback period. All numbers are drawn from your confirmed process data and FullSpec benchmarking. You review and decide; FullSpec handles everything on the build side.

Industry benchmark is under 10 minutes with automation
The three highest-friction steps in your current process
- Exit Interview Scheduled (Step 2, 20 minutes per exit): HR emails the departing employee manually to arrange a time, often in the final week. Calendar conflicts regularly push this to the last day or the step is skipped entirely. Failure mode: no interview happens at all, and no knowledge is captured.
- Exit Interview Conducted (Step 4, 45 minutes per exit): HR or the line manager runs an unstructured conversation with no enforced question set. The outcome depends entirely on the interviewer's instincts on the day. Failure mode: critical process knowledge, client contacts, and workarounds are never surfaced.
- Knowledge Transfer Document Requested (Step 6, 15 minutes per exit): HR or the manager asks the departing employee to write up their key processes and contacts, but there is no template, no deadline enforcement, and no follow-up mechanism. Failure mode: the document is incomplete, generic, or never submitted, and the replacement starts from scratch.
These three steps account for roughly 40 minutes of active HR time per exit and represent the points where knowledge most commonly walks out the door. The automation eliminates all three as manual tasks and replaces them with a structured, tracked sequence that runs automatically the moment a departure is confirmed.

02What changes after automation
Once the automation is live, the Exit Intake Agent monitors BambooHR for any confirmed departure and immediately triggers the full exit sequence: a personalised Typeform questionnaire is sent to the departing employee, a Notion knowledge transfer page is created and shared, and reminders are tracked automatically. When the employee submits their responses, the Knowledge Synthesis Agent reads them, produces a structured AI summary organised by theme, scores knowledge transfer completeness, and files everything in Google Drive and BambooHR. A Slack alert reaches the line manager with any flagged gaps. The one step that stays with a person is reviewing the AI summary and deciding whether a live conversation adds value. That judgement call belongs with your team; everything else runs without manual effort.

Already using some of these tools? If your business already pays for Typeform and Notion, the incremental tool cost drops to just $540/year for the orchestration layer. That reduces your total year 1 outlay to $2,640 (build cost plus orchestration only), and your break-even point falls to approximately 3 months rather than 4. BambooHR, Google Drive, and Slack are assumed to be existing spend with no incremental cost.

Net saving from year 2 onwards
$4,900/year
Three-year cumulative net saving

Break-even point
Approximately 4 months after go-live
The three-year figure of $12,600 net assumes stable exit volume, no change in the HR Manager hourly rate, and tool pricing holding at current levels. All three are conservative assumptions. If your exit volume increases or your HR headcount cost rises, the saving scales proportionally.

Business size
Approximately 30 employees
Confirmed in session
The numbers in this document are built around a stable exit rate of two employees per month and an HR Manager at $50 per hour. Both of these variables are confirmed for your business as of the session date, but they matter for scaling. If your team grows and exits increase to three or four per month, the annual staff cost saved scales directly upward: at three exits per month the annual saving rises to approximately $8,970, and at four exits per month it reaches $11,960, while the tool and build costs remain largely fixed. Similarly, if your HR rate increases above $50 per hour, every hour saved becomes more valuable and the payback period shortens. Conversely, if exit volume drops below two per month, the payback period extends slightly but the year 2 and year 3 returns remain strongly positive. FullSpec recommends reviewing these figures at the six-month mark once real exit data from the automation is available, to recalibrate the saving against actual performance.
