This Launch Plan is your single reference for how the NDA Workflow automation is built and delivered. It covers what is being built, how the four-stage build process works, what FullSpec needs from your team before work begins, what your ongoing role looks like once the automation is live, and what good results look like across the first three months. FullSpec handles every part of the build, testing, and go-live. Your role is to provide tool access, confirm one configuration decision before the build starts, and review exceptions that require legal judgement.
01What you're launching
Right now every NDA request kicks off an invisible to-do list: find the right template, populate it by hand, email an approver, chase that approver, set up a DocuSign envelope, monitor it manually, download the signed copy, file it in the right folder, and update HubSpot. That sequence costs around 103 minutes of active effort per request and still leaves executed copies inconsistently filed and approval chains invisible. The automation replaces that chain with three agents that handle the whole lifecycle from intake to filed executed copy, leaving only one step for a human: reviewing a redlined document when the counterparty proposes changes.

02How the build works
The build runs in four sequential stages: Connect, Build, Test, and Launch. Each stage has a defined set of actions for FullSpec and a small set of inputs needed from your team. The stages are designed so that your time commitment is front-loaded into Connect, letting FullSpec run the technical build independently. You will receive progress updates throughout and will be asked to review test NDA runs before go-live.
Complexity level: Moderate. This is a three-agent build involving DocuSign envelope lifecycle management, Slack interactive approval buttons, multi-tool orchestration across six platforms, and conditional filing logic. Estimated delivery: 4 business weeks. The delivery clock starts at the close of Connect, not payment.

FullSpec
Confirms the intake form design and all NDA template variants in Google Drive. Verifies API credential access for DocuSign, HubSpot, Notion, and Slack. Documents the approval routing configuration and the classification rules for NDA types. Confirms the Slack channel and approver details. Delivers a pre-build checklist for your team to sign off.
You
Provide API credentials and tool access for all six platforms. Confirm which NDA template variants are current and where they are stored in Google Drive. Identify the designated internal approver and the Slack channel to use. Confirm the one configuration decision (see Section 03). Sign off the pre-build checklist so the Build stage can begin.

FullSpec
Builds the intake form and connects it to the automation platform. Implements the NDA type classification logic and Notion record creation (Intake and Classification Agent). Builds the Slack approval message with interactive approve and reject buttons and configures the 24-hour automatic reminder (Approval and Routing Agent). Connects the DocuSign envelope lifecycle, configures sequential signing order, builds Google Drive filing logic with standardised naming, and wires the HubSpot update and Gmail completion notification (Signature and Completion Agent).

Remain available for same-day responses to any questions about template variants, approver names, or folder structure in Google Drive. No active build work is required from your team during this stage.
3Test
Business days 16 to 18
FullSpec
Runs end-to-end test NDA scenarios covering: standard mutual NDA approval and completion, approval rejection and re-routing, counterparty redline pause and human escalation, unsigned envelope expiry with auto-reminder, and completed copy filing verification. Fixes any edge cases identified in testing. Prepares the SOP and runbook for handover.
You
Review two to three live test NDA runs in your environment and confirm the outputs look correct: Notion record created, Slack message received, DocuSign envelope sent, filed copy named correctly, HubSpot updated, confirmation email received. Raise any discrepancies before the Launch stage begins.
4Launch
Business days 19 to 20
FullSpec
Switches the automation to live on real NDA intake submissions. Monitors the first five live runs end-to-end and confirms all outputs are correct. Delivers the full documentation suite: SOP and runbook, Integration and API Spec, Developer Handover Pack, and Test and QA Plan. Confirms the support handover with contact details and escalation path.
You
Direct your first real NDA request through the new intake form. Confirm with the approver that the Slack message arrived and the approve button worked. Check the Notion tracker and the completed filing in Google Drive. The automation is live and handling requests from this point forward.

03What FullSpec needs from you
FullSpec needs only access to your existing tools. No technical knowledge is required from your team. Everything below can be provided by logging in and generating an API key or sharing admin credentials through a secure channel. All credentials are used solely to configure the automation and are not stored beyond what the connected platform requires.

Configuration decision required before Connect closes: You must confirm whether the Slack approval request should route to a single named approver at all times, or whether it should route to different approvers depending on the NDA type (for example, a manager for standard mutual NDAs and a legal contact for vendor or employee agreements). This routing rule cannot be changed mid-build without resetting the approval agent, so the decision must be locked in before Build begins.
