Leave and Absence Management

[YourCompany.com] · HR Department · Prepared by FullSpec · [Today's Date]

This document puts a dollar figure on what your current leave management process costs, shows what changes the moment automation goes live, and gives you the full financial case for moving forward. The numbers are drawn from your confirmed process data: 40 leave requests per month, 6 hours of HR time lost every week, and an assumed HR Manager rate of $30/hour. FullSpec handles the entire build, test, and launch. Your team keeps one deliberate decision point: the manager's approve or decline response.

01What the current process is costing you

6 hrs/week
HR time lost every week
Across 11 manual steps per request
$9,360/year
Annual HR staff cost on this process
At $30/hr across 312 hrs/year
2 to 3 days
Average approval turnaround
Benchmark target: under 2 hours

The three highest-friction steps in your current process:

  • Step 4: Check Team Calendar for Coverage Conflicts (15 min per request, ~10 hrs/month). Failure mode: conflicts are missed because the review is manual and relies on whoever is doing it at the time. When two team members are approved for the same period, the problem surfaces only when someone is already on leave.
  • Step 5: Forward Request to Line Manager for Approval (10 min per request plus open-ended waiting time). Failure mode: there is no deadline on the manager's reply. Approval emails sit unanswered for two or more days, leaving the employee with no confirmed answer and HR monitoring an inbox for a response that may never arrive.
  • Step 11: Update Payroll System in Gusto (12 min per request, ~8 hrs/month). Failure mode: if HR is busy, this step is deferred or skipped. When approved leave is not logged in Gusto before the pay run closes, overpayments or incorrect deductions follow, creating disputes that take far longer to resolve than the original data entry would have.

02What changes after automation

Once the automation is live, three agents handle every step from submission to payroll sync. The Leave Intake and Balance Agent picks up the structured form submission, checks the employee's leave balance in BambooHR, and scans the team Google Calendar for conflicts, all before a human sees the request. The Approval Routing Agent sends the manager a structured Slack message with a single approve or decline button, and that decision is the only step that remains human. On approval, the Post-Approval Sync Agent deducts the balance in BambooHR, creates the calendar event, logs the leave in Gusto, and notifies the employee and team via Slack, all in the same workflow run. HR no longer touches the keyboard between submission and confirmation. You keep full visibility and the manager keeps the decision; the agents handle everything else.

Already using some of these tools? BambooHR, Gusto, Google Workspace, Slack, and Gmail are almost certainly costs you are already carrying. If all five are in place, the only new recurring spend is the workflow automation tool at $110/month ($1,320/year). That reduces your year 1 incremental spend to $4,520 total, and your ongoing annual cost from year 2 to $1,320. If you are already paying for an automation platform, the year 2 cost may be $0 in additional tool spend.

The $9,360 annual saving reflects 5.5 hours per week recovered (from 6 hours down to 0.5 hours) at the assumed HR Manager rate of $30/hour across 52 weeks. From year 2, the only cost is the orchestration platform at $110/month, leaving a net annual gain of $8,040 on a process that currently costs your business the equivalent of a part-time hire.

All figures in this document are based on the volume and rate data confirmed during your discovery session. The numbers scale predictably if your situation changes. If your leave request volume grows from 40 to 60 per month, the annual saving increases in proportion because each additional request that runs through the automated flow costs HR roughly 8 minutes of review time instead of 130 minutes. If your HR Manager rate is higher than $30/hour, the annual saving and payback period improve further. Conversely, if you are running fewer than 40 requests per month, the saving is lower but the payback period remains short given the fixed nature of the build cost. Contact the FullSpec team at support@gofullspec.com if you want a revised scenario run against your actual current volume or a different staff rate.
