Client Deposit & Payment Tracking

[YourCompany.com] · Finance Department · Prepared by FullSpec · [Today's Date]

This document makes the financial case for automating your client deposit and payment tracking process. It shows what the current manual approach costs in staff time and operational drag, what changes after automation, and how quickly the investment pays for itself. FullSpec handles every element of the build, testing, and launch. Your role is to review the numbers, confirm the assumptions that apply to your business, and approve the go-ahead.

Benchmark target: same day

The three highest-friction steps in your current process are the ones that consume the most time, generate the most errors, and are most likely to damage client relationships when they go wrong.

  • Monitor bank feed for deposit receipt (Step 3, Bookkeeper, 15 min per invoice): The bookkeeper manually checks the Xero bank feed and Stripe dashboard every day for each open deposit. At around 60 invoices per month, this becomes a constant, repetitive task with no automation support. When the bookkeeper is occupied, the check is skipped and overdue flags are raised days late. This is the single largest daily time drain in the process.
  • Chase overdue deposits manually (Step 6, Account Manager, 20 min per chase): Overdue chasers are drafted and sent by hand, often duplicated when two people are unsure whether a message has already gone out, and sometimes sent too late because the spreadsheet was not up to date. Only 55% of chasers are sent on schedule. Each missed or late chaser extends the payment gap and strains the client relationship.
  • Log follow-up activity in HubSpot (Step 7, Account Manager, 7 min per event): This step is routinely skipped when the team is busy, leaving the CRM with no record of contact made. Only 40% of follow-ups are logged. The result is no reliable audit trail, no way to see at a glance who last chased which client, and a risk of double-chasing or going silent on an overdue account.

02What changes after automation

After automation, three FullSpec-built agents handle the full cycle from invoice creation to payment cleared. The Deposit Monitor Agent watches Xero and Stripe continuously, logs every deposit record to Google Sheets the moment an invoice is raised, and matches incoming payments automatically. The Client Communication Agent sends chasers and confirmations via Gmail on a fixed schedule and logs every action in HubSpot without anyone touching it. The Internal Notification Agent posts to Slack the moment full settlement is confirmed in Xero. The one decision point you keep is reviewing any payment that cannot be automatically matched, for example a partial or misreferenced transfer, so nothing is reconciled incorrectly without a person confirming it. Everything else runs without manual input.

Already using some of these tools? All six integration tools (Xero, Stripe, Gmail, HubSpot, Google Sheets, and Slack) are tools your team is already paying for. The only new spend is the automation platform at $65/month ($780/year) and the one-off FullSpec build fee of $3,200. Your total incremental cost is $3,980 in year 1, dropping to $780/year from year 2 onwards.

The $9,300 annual staff cost saving is based on 300 hours per year recovered at $30 per hour. This is the time currently spent across the bookkeeper and account manager roles on bank feed monitoring, manual chasers, spreadsheet updates, HubSpot logging, and Xero reconciliation. From year 2, with the build cost fully recovered, the net annual return rises to $8,520.

All figures above are calculated using a volume of 60 invoices per month and a blended staff rate of $30 per hour. If your invoice volume increases, the hours saved scale proportionally: at 90 invoices per month the annual saving would be closer to $13,950 at the same hourly rate. If your blended staff rate is higher than $30 per hour, every dollar of additional rate adds $300 per year to the saving (300 hours recovered). Conversely, if your team is smaller and the current process absorbs fewer than 6 hours per week, the payback period extends but the year-2-onwards return remains strong because the automation platform cost is fixed at $780 per year regardless of volume. FullSpec recommends revisiting these numbers at the 90-day mark after go-live once actual time savings can be measured against the baseline captured in this document. Contact support@gofullspec.com at any point to update the assumptions with your confirmed figures.
