This document makes the financial case for automating your client deposit and payment tracking process. 01What the current process is costing you

- Monitor bank feed for deposit receipt (Step 3, Bookkeeper, 15 min per invoice): The bookkeeper manually checks the Xero bank feed and Stripe dashboard every day for each open deposit. If your invoice volume increases, the hours saved scale proportionally: at 90 invoices per month the annual saving would be closer to $13,950 at the same hourly rate. If your blended staff rate is higher than $30 per hour, every dollar of additional rate adds $300 per year to the saving (300 hours recovered). Conversely, if your team is smaller and the current process absorbs fewer than 6 hours per week, the payback period extends but the year-2-onwards return remains strong because the automation platform cost is fixed at $780 per year regardless of volume.
