02How the build works
FullSpec runs the entire build in four sequential stages: Connect, Build, Test, and Launch. Each stage has a defined set of actions and a clear handover point. You will be involved briefly at Connect to provide tool access and confirm a small number of business decisions, then again at Test to review outputs against your real customer data. Between those checkpoints, FullSpec handles everything. The total build is estimated at 32 hours of build effort across a 5-week delivery window.

Sends a secure credential request for all six tools. Confirms the data mapping approach between Xero customer identifiers and HubSpot contact records. Reviews any existing VIP tier definitions or spreadsheets your team provides. Documents outreach templates and escalation rules to be automated.

Builds the VIP Outreach Agent: personalised Gmail email generation, HubSpot sequence enrolment at 30, 60, and 90 days, and Typeform survey dispatch with timeline logging. Builds the VIP Support Escalation Agent: Zendesk ticket monitoring, VIP priority tagging, and Slack alert formatting with customer context and direct ticket link.

3Test

Runs end-to-end tests using staging data drawn from real customer records. Tests cover tier promotion, tier lapse, VIP ticket escalation, check-in sequence enrolment, survey dispatch, and low-score Slack alerting. Fixes any issues identified during QA. Prepares the SOP and runbook for handover.

Reviews a sample of test outputs: check that tier assignments look correct, that outreach emails match your brand, and that Slack alerts contain the right customer context. Confirms the survey alert score threshold is calibrated correctly. Signs off that the system is ready to go live.
4Launch

Switches the automation from staging to your live environment. Monitors the first 48 hours of live runs to confirm all triggers fire correctly and all agent outputs match expected results. Delivers the full documentation suite including the runbook, integration spec, and test log. Provides the support handover to the FullSpec support team at support@gofullspec.com.

03What FullSpec needs from you
FullSpec needs only access to your existing tools. No technical knowledge is required from your team at any point in this process. The table below lists exactly what access is needed for each tool and when it must be in place. All credentials are handled securely and used only for the purpose of building and running this automation.

One configuration decision must be confirmed before Connect closes: your VIP tier thresholds. The VIP Tier Agent enforces exactly the rules you define. If the spend boundaries that separate standard customers from VIP tiers are not agreed and documented before the build begins, the agent cannot be built correctly and the delivery window will be delayed. Please come to Connect with a clear definition of what spend level (or combination of criteria) qualifies a customer for each tier.
